Job overview

Now is an exciting time to join Dorset County Hospital as we recruit for an additional Co-ordinator for Dorset's Targeted Lung Health Programme.  The NHS long term plan published in 2019 established a plan to diagnose 75% of people with cancer at an early stage by 2028, and this post will support the  setting up and implementing of a lung health screening programme across Dorset.  

This is a pivotal role, and will support the team to establish a pan Dorset wide Lung Health Check Service by providing administrative support.

Main duties of the job

The purpose of the role is to support the Lung Health Check programme by planning and booking patients into a screening phone call and Lung Health Check appointments. 

The main duties of the role include:

Booking participants appointments via the telephone and the trust's IT booking system, following up with appropriate letters/leaflets.

Time management is essential within this role to ensure efficient patient flow.

Promoting the service to patients over the telephone and have a good understanding of the pathway. 

The post holder will work within a small team. You will be managing the participant list and will need to maintain accurate records via Excel. 

The post holder will communicate with patients to deal with all enquiries regarding their appointment times and procedural issues and ensure that patients understand the information they are given regarding preparation for diagnostic tests or procedures and understand the importance of accepting the earliest diagnostic appointment offered.

The post holder will work closely with the Targeted Lung Health Team and Nurses to ensure that clinical patient queries are dealt with by the clinical team.

Dorset County Hospital is approximately 7 miles away from the coast, and is set in a beautiful rural county. 

Detailed job description and main responsibilities

Create referrals and arrange appointments via the trusts IT booking system and sending appointment letters

Arrange and facilitate weekly TLHC MDT meeting and perform live minute taking of CT outcomes from Consultant instructions

Plan patient pathways from receipt of participant list from appointment outcome to MDT and onward referrals

Work autonomously managing own workload within agreed scope of the role

Maintain the Lung Health Check Patient Tracking List, to be responsible for accurately tracking patients reports and ensuring as appropriate that the patient is on the correct pathway and has the appropriate next stage agreed and patient is aware.

Support  meetings both internal and external related to the screening programme.

Managing the predictor tool to ensure patients at risk of breaching are identified early and action taken to mitigate risk of breaches.

Own and deliver booking system for patients invited to attend Lung Health Check service

The post holder is responsible for working as a team member within the Cancer Nurse Specialist Team, and liaising with the other Patient Navigators and the MDT Facilitators from the three Dorset acute trusts.

Communicate routinely with the Cancer Nurse Specialists, MDT Facilitators and Patient Navigators to coordinate patient pathways between the pan Dorset service

The post holder will establish and maintain effective communication links with all staff within the TLHC and cancer pathway

Be a resource for the Trust in regards for any queries relating to LHC performance

Coordinate between departments and across trusts pan-Dorset

Resolve issues raised by patients in partnership with the Cancer Nurse Specialists.

The post holder works with other members of the Team to maintain and support departmental/Trust practice and procedures.

The post holder works as part of a team to ensure that an element of cross cover is provided.

All tasks are organised and produced to required standards and within specified timescales in agreement with the Team Leader.

Person specification

Education, Qualifications & Training

Essential criteria
  • 5 GCSE’s including Maths at Grade “C” or above
  • NVQ Level 3 in Business Administration, working towards this or relevant experience

Knowledge & Experience

Essential criteria
  • Significant experience working with Microsoft Excel
  • Experience working in an administrative post
  • Good working knowledge of administrative and secretarial processes e.g. electronic filing systems and formatting documents/reports
  • Experience of handling confidential information
Desirable criteria
  • experience of booking and rescheduling appointment
  • Any screening administrative experience

Skills and Abilities

Essential criteria
  • Excellent interpersonal skills and ability to communicate effectively with people internal and external to the organisation
  • Excellent verbal communication
  • Strong customer care skills including experience dealing with people who may be upset and angry (both face-to-face and on the telephone)
  • Ability to work in a team as well as work under own initiative
  • Ability to document outcomes of reports from a variety of meetings.
Desirable criteria
  • Aptitude to think logically and objectively when resolving problems
  • High quality organisational and administrative skills
  • Capacity to follow complex procedures e.g., monitoring statistics, assisting in the production of programme reports.
  • Ability to work under pressure, prioritising workload and manage time effectively

  • Advanced keyboard skills
  • Ability to concentrate on complex tasks

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
