A new opportunity has arisen for an experienced Personal Assistant to support the Clinical Director for Adult Mental Health and Associate Clinical Director for Patient Flow. In this role you will be required to provide a wide range of P.A. and administrative support, to include implementing organised systems to ensure a forward-thinking approach to project support and in co-ordinating your workload.


You will need to be a clear and effective communicator and confident interacting with wide variety of stakeholders. You will also need to be committed to ensuring that confidentially is always maintained.


You will be highly computer literate, with a solid knowledge of Microsoft Office and using it to good effect. You must also be able to work independently, using your initiative, managing, and prioritising your own workload, and respond swiftly to changing demands and the needs of the department.

The main duties of this role will be:

To provide a comprehensive professional, high quality confidential, administration and personal assistant (PA) service to both the Clinical Director for Adult Mental Health and Associate Clinical Director for Patient Flow, thereby ensuring their time is used optimally to discharge their personal objectives.

To coordinate the workload for the Clinical Directors.

Provide support in the organisation and coordination of service-related meetings.

To carry out diary and communications management, development, and maintenance for electronic filing systems

To assist in communicating highly complex or sensitive information.

  • 4 GCSEs at grade C/Level 4 (or equivalent qualification or experience including English Language at Grade C/Level 4 or above.
  • Level 3 or 4 NVQ qualification in Business Administration or Customer Care.
  • ECDL qualification or equivalent.

  • Degree Qualification

Experience

  • Experienced PA/Senior Administrator including experience in full range of PA duties.
  • Experience of supporting senior managers and working with multi-disciplinary teams.
  • Experience of providing project management administration, or co-ordination and support.
  • Experience in document management, formatting, presentation, and control. Including filing systems and minute taking.
  • Experience of database/spreadsheet management.

  • Experience operating as a PA in the NHS.

Skills and Knowledge

  • Highly competent in the full suite of Microsoft Office packages: a combination of Word, Excel, PowerPoint, Access, Publisher, and Teams.
  • A high level of business standards, with an ability to work accurately at pace whilst paying attention to detail.
  • Demonstratable loyalty and experience in managing highly confidential and sensitive information.
  • Self-motivated, determined, and resilient in pressurised environments.
  • Excellent interpersonal skills and the ability to be assertive yet highly professional and co-operative
  • Ability to work independently, exercising judgement on appropriate actions and prioritise balancing competing demands.
  • Ability to anticipate demands and pressure and develop solutions and actions independently through problem solving and forward-thinking approach.
  • Competent to work with and produce numerical information.
