University Hospitals Dorset NHS Foundation Trust is seeking to appoint a Personal Assistant to support the Consultant Physicians.

The post-holder will work within a secretarial team across Poole Hospital and Bournemouth Hospital sites. 

Provide high level support for the patients, carers, healthcare professionals and all other  agencies and GP surgeries that make contact with the Older People’s Service. 
To produce letters and other documentation as generated by the Consultant Physicians and Specialist Nurses within the Older People’s Service.

Base Location : Poole and Bournemouth

Main duties of the job

To provide development and training for the support secretarial team members within Older People's Services.

To provide a full PA support to the Consultant Physicians and specialist Nursing Teams within Older People's Services.

There is a planned move for this service anticipated during  XXX (season) 202x, when this role and base of work will relocate to xxxx site.  Upon relocation of the role/service, excess mileage allowance / reimbursement will not apply, and any travel between the postholder’s home and work base will be classified as a commute. Any other changes unrelated to this, will be handled in line with Trust/National terms and conditions.  

Detailed job description and main responsibilities

·         Provide high level support for the patients, carers, healthcare professionals and all other agencies and GP surgeries that make contact with the Older People’s Service.

·         Provide a full PA support service to the Consultant Physicians and Specialist Nurses within the Older People’s Service.

·         Assist with the processing of clinical correspondence (e.g. Outpatient Clinics)

·         To produce letters and other documentation as generated by the Consultant Physicians and Specialist Nurses within the Older People’s Service.

  • To identify and communicate potential shortfall of clinical cover within the service to ensure that appropriate action can be taken by the service lead to avoid/minimise service disruption.
  • To manage cancelled clinics by following the correct procedures, ensuring minimum disruption to patients and the Outpatients Department.
  • Update and record patient information on clinical systems.
  • To organise and manage archiving of clinical and corporate records in line with Trust procedures.

  • GCSE or equivalent in English and Maths
  • Vocational level 3 or equivalent experience in relevant field
