Job overview

The West Integrated Community Health Team are looking for an enthusiastic Team Secretary to work 22.5 hours with other members of our administration team at the current community base at Colburn Medical Practice.

In the future the community team will be re locating to the Catterick Integrated Care Campus which will be at Catterick Garrison.

As an adult community mental health team we pride ourselves with being a cohesive and supportive team and this role is key to helping the team function on a day to day basis.

Our base is at Colburn Medical Practice but we cover a large rural area encompassing the towns of Richmond, Bedale, Leyburn, Catterick and Colburn as well as Wensleydale and Swaledale.

We are looking for someone that can work between the hours of 10am and 3pm Monday to Friday.

 

Main duties of the job

The following responsibilities are examples, please refer to the attached Job Description for the complete picture .

Generic administrative activity such as: dealing with answer machine messages, responding to letters and emails, checking/taking the post, liaise with other departments and sites across the North Yorkshire area, ordering supplies, calendar management (e.g. organising meetings/events), minute taking, data input, files and documentation prep (e.g. case notes), photocopying, filing. 

To be a point of contact on behalf of the clinical team, for service users, carers and visitors; responding to enquiries in a patient and helpful manner.

To assist in cross-cover support as required for other community teams as required.

To interact compassionately with service users and carers at all times.

To promote a positive image of the mental health service, the Trust and the people who access our services.

Qualifications

Essential criteria
  • Diploma/NVQ Level 3 in Business Administration or equivalent (or willingness to achieve within an agreed timescale)
  • ITQ Level 2 or equivalent or willingness to work towards
  • Key skills in literacy and numeracy Level 2 or O Level / GCSE in Maths and English grade C or above

Experience

Essential criteria
  • Significant administrative experience
Desirable criteria
  • Administrative experience in a clinical environment.
  • Experience of participation in service and quality improvement initiatives.
  • Experience of supervising/training junior administrative staff.

Knowledge

Essential criteria
  • Comprehensive knowledge of administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines.
  • Comprehensive knowledge of Microsoft Office applications (Word, Excel and Outlook).
  • Understanding of confidentiality and the associated legal and policy requirements.
