Job overview

An opportunity has arisen to recruit an experienced and highly motivated Team Secretary within the  Community Adult Mental Health Team based at Parkside CMHRC, Middlesbrough,  although there may  be a requirement for you to work at other Trust sites   This is a permanent 37.5 hours post, Monday to Friday 9am to 5pm.

 

Main duties of the job

The successful candidate will be required to provide administrative duties for both a  multi-disciplinary team and management team.  The successful candidate will need to have excellent IT and organisational skills and a good knowledge and understanding of information systems.  Secretarial/administrative experience is essential along with comprehensive knowledge and experience within Microsoft office applications.

The team is a busy and fast paced environment so the ability to work under pressure to meet deadlines with a flexible and motivated attitude to work is essential.

The role mainly includes day to day admin tasks such as organising meetings, answering the phone to service users and other agencies, tending to the central email box and the minuting of clinical meetings. Some dictation is also required to support clinical staff.

Excellent communication skills, both verbal and written coupled with proven secretarial skills and previous experience is essential.

Must hold Diploma/NVQ Level 3 and ITQ Level 2 or equivalent  in business administration or willingness to work towards within an agreed timescale.  Key skills in literacy and numeracy level 2 or O level/GCSE in Maths and English grade C or above are essential.

Detailed job description and main responsibilities

Main roles are attending team huddles, arranging team meetings including, agenda and minutes, monitoring shared mailboxes, making appointments, diary management and  some dictation using Bighand and liaising with other agencies.

The successful candidates must also have the ability to be organised, efficient and have the capacity to prioritise their workload whilst dealing sensitively with issues and maintaining confidential information.

The candidate may be asked to support the wider secretarial team including Reception.

Qualifications

Essential criteria
  • Diploma/NVQ Level 3 in Business Administration or equivalent (or willingness to achieve within an agreed timescale

Experience

Essential criteria

Knowledge

Essential criteria
  • Comprehensive knowledge of secretarial and administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines.
  • Comprehensive knowledge of Microsoft Office applications (Word, Excel and Outlook).
  • Understanding of confidentiality and the associated legal and policy requirements.
Desirable criteria
  • Working knowledge of medical/psychological terminology.

Skills

Essential criteria
  • Copy type and transcribe accurately from audiotape and/or shorthand, at a minimum speed of 50 wpm.
  • Input data accurately / efficiently
  • Demonstrate good organisational and diary management skills to include co-ordination of meetings and associated duties.
  • Communicate effectively in the English language and demonstrate both verbal and written comprehension skill.
  • Maintain concentration and attention to detail whilst also dealing effectively with interruptions.
  • Work on own initiative, prioritise work and consistently meet deadlines.
  • Depending on work area, supervise staff in a positive manner to facilitate delivery of an effective service.
