Job overview

We are looking to recruit a full time Receptionist  to join our busy Scarborough, Whitby and Ryedale Child and Adolescent Mental Health Team, based at Lake House in Scarborough.  

This is a fantastic opportunity to join a friendly and supportive service.  This is a very busy and dynamic work environment and as a Receptionist you will also have multiple responsibilities.  Previous Reception / Clerical experience and customer service is essential.   

Your responsibilities including greeting service users on arrival, managing phone calls, dealing with people who may be upset and distressed, managing records, building and ordering responsibilities, as well as utilising electronic systems and supporting the front of house services.  You must be calm, reassuring and always treat people with respect, dignity and kindness in this varied environment and display impeccable customer service skills.  

Main duties of the job

Greeting service users, families and carers on arrival at reception and directing to appropriate waiting area/member of staff.

Dealing with telephone enquiries from service users, families and carers and forwarding to the appropriate member of staff or taking messages accurately and communication these in an appropriate and timely manner.

Act at all times in the best interest of patients and service users recognising the potential vulnerability of all service users and acting in accordance with trust procedures for safeguarding.

Qualifications

Essential criteria
  • ITQ Level 2 or equivalent or willingness to work towards within an agreed timescale
  • Key skills in literacy and numeracy Level 2or O Level / GCSE in Maths and English grade C or above or willingness to work towards within an agreed timescale
Desirable criteria
  • NVQ 2 in Business Administration or Customer Service

Experience

Essential criteria
  • Experience working in an administrative role in an office environment
Desirable criteria
  • Experience working in an administrative role for a clinical team

Knowledge and Skills

Essential criteria
  • Understanding of confidentiality and the associated legal and policy requirements
  • Working knowledge of Microsoft Office applications (Word, Excel and Outlook
  • Demonstrates good customer service skills when dealing with potentially distressing situations
  • Demonstrates good organisational and time management skills including ability to prioritise effectively
  • Can perform effectively whilst dealing with interruptions
Desirable criteria
  • Copy type accurately at a minimum speed of 35wpm.
