An exciting opportunity has arisen to join the Voluntary Services Department based at St Richard's Hospital, Chichester.

We are looking for someone with experience of hospital wards / clinical areas or in a healthcare environment to join our team as a Voluntary Services On-boarding & Engagement Coordinator.

The Voluntary Services department is responsible for the volunteers within the hospital. This role involves supporting an effective and efficient use of volunteers on the wards and hospital departments by inducting, mentoring, training and supporting all volunteers in hospital departments, along with promoting volunteering and forging strong relationships within the hospital and the local community.

If you are hardworking, organised, have experience within a hospital or in a healthcare environment, good general IT skills, have great people skills and work well as part of a team, we'd love to hear from you.

Prif ddyletswyddau'r swydd

  • To be involved in the recruitment and on-boarding of new volunteers within the Trust.
  • To support effective and efficient use of volunteers on the wards and hospital departments by inducting, mentoring, training and supporting all volunteers in hospital departments.
  • Provide an in-person welcome to new volunteers to the Trust.
  • Provide on-going support to volunteers, ensuring volunteer satisfaction and engagement to improve the volunteer experience and aid retention.
  • To attend outreach events within the local community, to promote volunteering at the Trust and forge strong relationships with local education providers and workability schemes.
  • To promote volunteering within the trust by attending staff induction in order to inform and educate staff of volunteers and their remit.
  • To monitor and evaluate the performance and appropriateness of volunteer placements. Working with the Voluntary Services Coordinator, conduct regular reviews to gather staff and volunteer feedback to ensure the volunteer roles continue to fall within the volunteer remit and are mutually beneficial for both department and volunteer

Communication

  • Communicate effectively and maintain good working relationships with clinical and non-clinical colleagues, volunteers within the organisation and potential volunteers making enquiries.
  • Provide a co-ordinated, efficient and professional service; corresponding with volunteers, external organisations and internal colleagues via email, telephone, video call and in person.
  • Build strong working relationships with clinical and non-clinical staff and help to raise the profile of volunteering across the hospital.
  • Work collaboratively with colleagues in the Voluntary Services Team to share best practice and learning.
  • Liaise effectively with colleagues within the Voluntary Services Team both on- site and cross site.
  • Promote and raise the profile of volunteering and volunteering opportunities at internal and external events

  

Service Delivery and Improvement

  • Contribute to the development, maintenance and implementation of the Trust’s policies and operating procedures within the remit of the role.
  • Respond effectively and consistently in providing high quality volunteering opportunities within the Trust.
  • Along with the Voluntary Services Manager, develop and improve volunteer roles based on feedback from volunteers and ward staff.
  • Assist the team in recruiting high quality volunteers.
  • To monitor and evaluate the performance and appropriateness of volunteer placements. Working with the On-boarding and Engagement Coordinator, conduct regular reviews to gather staff and volunteer feedback to ensure the volunteer roles continue to fall within the volunteer remit and are mutually beneficial for both department and volunteer.

People Management and Development

  • Support effective and efficient use of volunteers on the wards by inducting, mentoring and training new volunteers at the beginning of their placement.
  • Provide on-going support to volunteers, ensuring volunteer satisfaction and engagement to improve the volunteer experience and aid retention.
  • Provide an in- person welcome to new volunteers to the Trust.
  • Provide on-going support to volunteers during their placement by conducting regular visits, checking in with volunteers in person, via email/ telephone and requesting feedback from volunteers and staff.
  • Help to manage volunteer and ward staff expectations of the volunteer role; acting as an advocate for volunteers and ensuring volunteers act within the limitations of the role.
  • Respond promptly to existing volunteer queries or concerns and work with the Voluntary Services’ and department teams to resolve any issues arising as part of the volunteer placement in conjunction with the Voluntary Services Manager.
  • Along with another team member, interview prospective volunteers, effectively assessing their suitability for the role.
  • Working with the Voluntary Services Coordinator, build an efficient, timely and effective volunteer journey with the Trust

 

Information Resources 

  • Accurately maintain department records which may require analysis, referencing or auditing for purposes of legal record or financial accountability, including updating the volunteer management system, Assemble.
  • Handle and maintain comprehensive and effective filing and retrieval systems and regularly streamline files including: volunteer personal records, volunteer role descriptions, training information and attendance records, and be aware of any changes made to documentation.
  • Ensure that all interactions that are carried out with volunteers are included on the Volunteer Management System, as part of their volunteer journey

 

Patient Care Delivery

  • Support volunteers to provide non-clinical assistance to ward staff which will give clinical staff additional ‘time to care’.

 

Financial and Physical Development

  • Observe personal duty of care in relation to equipment and resources used in the course of work and ensure that equipment and facilities are used carefully and appropriately.
  • To support the process for the payment and authorisation of ‘out of pocket’ expenses for volunteers and ensure that accurate records are kept.

 Learning and Development

  • Attend mandatory training updates as required.
  • Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.
  • Achieve and demonstrate agreed standards of personal and professional development within agreed timescales.
  • Identify own learning needs and jointly plan training requirements with your line manager.
  • Participate in the Trust’s appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
