Job overview

Would you like to work in a demanding but rewarding environment? Our Outpatient Supervisor ensures that we provide the best service to our patients.

You will need to be passionate about patient care and customer service. This role will support and provide day to day line management of staff.

You will support patients with booking appointments. Ensuring all clinic outcomes are recorded in an efficient and timely manner, notifying G.P.s and/or other referrers into the service of patient D.N.A.s (did not attends). You will retrieve and prepare clinic letters, ensuring relevant patient documentation is available for some outpatient clinics.

You should possess previous experience working in a customer facing environment preferably within the NHS, possess basic keyboard skills, good organisational and excellent communication skills.

This is full time, fixed term/secondment role until 31.12.2025.

Main duties of the job

·     Support and manage the clerical staff in the Gynaecology Outpatient department.

· Ensure that all key performance indicators are met (e.g. 18-week standard) or escalated within good time to enable resolution.

· Check GP referral letters and register patients on Medway and CAB where necessary.

· Submit referrals for assessment and make new outpatient appointments as prioritised by the Consultants.

 · Telephone patients to negotiate appointments or print and send partial booking letters as appropriate.

 · Manage all electronic referrals as Trust policy.

· To amend work processes as directed in line with changes to booking practices as instructed by management team in the implementation of Choose & Book and partial booking.

· Deal with patient telephone enquiries across a range of specialties.

 · Make follow up appointments, in line with partial booking, as requested by Medical Secretaries, Wards, Clinics, Departments & other hospital sites.

 · Cancel and re-arrange clinics as requested and inform patients of such arrangements.

· Liaise with the Operational Coordinator, and Nursing Staff/Medical Secretaries/Medical Records/other departments and outlying hospital sites.
