Job overview

An exciting opportunity has arisen within the MEMS - Estates & Facilities Department at Southend Hospital for the position of MEMS Administration Manager.

MEMS provide total medical equipment management services to Basildon, Southend and Mid Essex Hospitals. This includes Procurement, Acceptance, Maintenance and Service, coordinate clinical staff training and decommissioning and disposal.

You will lead the Administration Team to deliver following services; Medical, Equipment Library, Helpdesk, stock control, ordering and receipting of goods/equipment, Internal audit, management of contracts and financial compliance. All in accordance with ISO9001 Quality Management System.

Main duties of the job

You will provide assistance to visiting (entering workshop) medical staff and resolve any matters arising; address with engineer to resolve if unable too.

• Resolve telephone enquiries for workshop when engineer absent or busy.
• Support the digitisation agenda within MEMS.
• Resolve calls from internal/external source to provide updates and advice with regard to medical devices.
• To process requests for maintenance and service, and retrieve the necessary information regarding the equipment, the problem and contact person.
• To provide updates to internal/external source on repair progress.
• To process internal and external communication to MEMS.
• Professional approach to working with internal and external stakeholders to the organisation.
• Ability to write clear concise reports, letters, formal minutes and documents using a good standard of English.
• Ability to forge long-term working partnerships with individuals and groups from
internal and external departments and organisations.
• Strong interpersonal and influencing skills.
• Ability to organise and prioritise effectively.
• High level of personal integrity and encourage similar standards in colleagues
• Effective Team working.
• To liaise with senior technicians and administration staff for contract information.
• Light lifting and handling ability.
• Strong understanding of the data protection act and the need to secure sensitive data.

You will need to be able to travel across the 3 Sites
