Job overview

An exciting opportunity has arisen for a Ward Clerk to join our Day Surgery team. We are currently looking to employ a Ward clerk that would be able to cover the afternoon and evening 11:30 till 19:00 in our new purpose built day surgery unit. This would be to cover our reception area into the evening. We are looking for an enthusiastic and highly motivated Ward Clerk to join our well-established team.  We look after all the day surgery patients for Cheltenham Hospital and the elective Surgical Admissions for a wide range of specialities. In addition we run a Chronic Pain Clinic and Urology Clinic in our treatment rooms. We use a variety of IT systems within the trust including TrakCare, Sunrise, as well as Microsoft Office programmes.

Main duties of the job

The successful applicants require a proactive, patient orientated approach with a passion to continuously improving patient experience, and have the ability to work with the multidisciplinary team. Previous knowledge and experience in a healthcare environment is desirable but not essential as training will be given on the job. IT skills would be desirable but again not essential as training for the specific IT systems used would be given. Excellent communication and interpersonal skills are however essential in this post.

Detailed job description and main responsibilities

To ensure the smooth clerical administration in the department Reception area.

To be able to communicate effectively with the multidisciplinary team, patients, clinical staff and the general public ensuring visitors are made to feel welcome with appropriate information given.  Demonstrate excellent customer care skills.  Respond to patient, staff and visitor request appropriately

Receive queries, in person, by e-mail and on the telephone and manage appropriately

To cover Chedworth Surgical Unit reception 

To maintain records on both paper and IT systems. Undertaking clerical duties as required and to assist and support day surgery staff with data input onto electronic patient records as necessary. To be competent with all of the office equipment

Obtain all notes for Chedworth Surgical Unit including day case and inpatient surgery, pain and urology clinics and results ensuring clinical staff have access to essential information in a timely fashion

Reporting faults to our estate teams 

Ongoing checks throughout the day for add-ons to surgery & clinic lists

Filing of all patient documentation generated on the unit ensuring notes are up to date and accurate when used by clinical staff

Trace and send away all notes to the relevant departments after being filed correctly

Arranging hospital transport for patients

Arrive and depart clinics on Trak Care

Answer the phone, check voicemail and return any calls

Qualifications

Essential criteria
  • Educated to GCSE Level or equivalent Grade C (4) English (or equivalent (e.g. National Adult Certificate Level 2 Literacy) and Mathematics Grade C (4) (or equivalent (e.g. National Adult Certificate Level 2 Numeracy)
Desirable criteria
  • Basic knowledge of standard range of Microsoft Office Programmes

Experience

  • Reception or customer facing skills / experience

  • Good communication skills both written and verbal and enthusiasm to contribute to the Teams to deliver a quality patient experience
