Job overview

We are looking for an experienced Administration Officer to work with our team in providing comprehensive and confidential administrative support to the Gloucestershire Diabetic Eye Screening Programme.

The post holder will liaise with patients and healthcare professionals to ensure that the best possible care is offered.  They will need excellent communication skills and be able to work well as part of a busy team, remaining calm under pressure.

Main duties of the job

The post holder will be required to assist with maintaining electronic records of diabetic patients within Gloucestershire and ensure that patients are invited for screening in a timely manner.  

They will need good telephone experience and keyboard skills to book and rearrange appointments and have excellent attention to detail.  The post holder will need to be flexible to meet with competing demands on their time within this busy office.

They will also be required to work within the reception area and be confident as the first point of contact for patients attending appointments

The department is closely linked with Research, Ophthalmology and Medical Photography to form a diverse and enthusiastic team. 

Detailed job description and main responsibilities

• Answering telephone enquiries from patients and other health care professionals

• Generating and mailing patient invitation and appointment letters and booking appointments.

• Printing and sending patients’ grading reports to patients, GPs and hospital Consultants.

• Maintaining accurate and up-to-date records on patient registration software.

• Undertaking general office duties to assist in the efficient running of the department.

• Providing assistance and cover during absence of other administrative team members, including receptionist, to ensure service provision is ongoing.

Qualifications

Essential criteria
  • GCSE level A-C or equivalent in English

Experience

Essential criteria
  • Previous experience of working in a screening environment or similar.
  • Competence with Trakcare
  • Experience in using Optomize Screening Software.

Knowledge / Skills

Essential criteria
  • IT skills (Word, Excel & Outlook)
Desirable criteria
  • RSA II or equivalent in Word Processing or at least one years relevant administrative experience
  • Ability to communicate effectively both in writing and verbally
  • Ability to work independently, on own initiative and as part of a team
  • Willingness to undertake further training / qualifications
