Job overview
This is a great opportunity for you to join a busy and supportive People Advisory Team where you will have an opportunity to advise managers and staff across the Trust on all aspects of HR casework and queries. The role is demanding but rewarding as you will also support enquiries via telephone and email.
Main duties of the job
You must have excellent administrative and time management skills as you, along with another colleague will be responsible for arranging all formal people related meetings. In addition to this you will need good skills in dealing with a range of callers from across the Trust and outside the Trust such as union representatives.
You must be able to explain HR policies and their application to our customers (staff and managers in the Trust) and do this in a clear, helpful and supportive manner. We are not expecting you to have detailed knowledge of Trust policies, but you must have a very good understating of good people practices and be clear about the Trust values.
Working for our organisation
The Trust employees over 9000 staff and the People Advisory Team support managers and staff by supporting all formal meetings and advise and guidance on policies and good HR practices.
We are located in Beacon House on the Gloucester Royal Hospital site, but will be expected to work and attend meetings at Cheltenham General Hospital on occasion. A free public bus service is available for your use between the 2 sites.

Detailed job description and main responsibilities
- To provide appropriate advice and support in a timely manner to managers and staff on Trust policies, procedures and terms and conditions.
- To support managers with sickness absence management and attend welfare meetings and first level formal sickness meetings when required.
- Explain complex processes and procedures in line with Trust policies.
- When providing advice ensure that all informal routes where appropriate have been exhausted and where possible resolutions identified.
- Provide full and comprehensive support to the People Advisory team including the maintaining of electronic folders, template letters, forms etc.
- Identify when queries require further people intervention and transition into potential formal cases and escalate to a Senior People Advisor as appropriate.
- Contribute to the achievement of the KPIs, advice and guidance to meet service demands.
- Compile reports when required and ensure deadlines are met eg providing workforce reports or FOI requests.
- Analyse, interpret and present workforce data reports from ESR or case work tracker, HR Assure.
- Signpost staff or managers to available resources.
- Analyse queries and monitor the HR inboxes (and telephone line support) and respond as appropriate.
- Train colleagues as required on the use of the case work tracker system (HR Assure)
- Organise hearings, formal meetings and prepare documentation for panels.
- Take notes at formal meetings and hearings and circulate these are quickly as possible.
- Carry out exit interviews in a timely manner and escalate to senior members of the People Advisory Team when a further investigation is required based on the feedback provided.
- Ensure all computerised personal records are maintained in a satisfactory manner, i.e.. processed fairly and lawfully, are up-to-date, accurate secure, and appropriate controls are put in place in order to ensure compliance with the Data Protection Act 1998.
- To input a range of workforce data into HR systems accurately and in a timely manner.
As a member of the People Advisory team to actively contribute to the development of human resource practice and to undertake ad-hoc project work as requested.

Qualifications, Knowledge and Skills
Essential criteria
- Generalist HR knowledge base acquired through relevant training and/or Diploma/Foundation Certificate in Personnel Practice or equivalent
- Evidence of recent CPD
- Experience of working in a busy/demanding office environment
- Able to prioritise and manage own work
- Able to think quickly, adapt and respond to a range of queries from managers and colleagues
- Sound knowledge of Microsoft Word, Outlook, Excel and PowerPoint packages
- Strong communication skills, both written and verbal, with the ability to present complex information.
- Able to concentrate with frequent interruptions and where work is unpredictable, e.g. constant phone calls requesting advice.
- Excellent customer service skills
- Proactive and self-motivated
Desirable criteria
- Experience of working in a HR related role.
