Job overview

To support the medical division to deliver an optimum service by ensuring the smooth co-ordination of the medical ward rotas for the Junior Doctors and Acute Medicine Consultants for Gloucester Royal and Cheltenham General Hospitals.

The post holder is responsible for the provision of effective rota management by forward planning and by ensuring medical wards are staffed appropriately and by using the most cost-effective solution.

They will be responsible for finding internal cover for vacancies and other absences and proactively managing vacancies in conjunction with medical staffing.

The post holder will construct, publish and distribute named rotas in line with rota patterns set out by Medical Staffing.

Main duties of the job

- Ensure efficient and effective junior doctor rota cover across both sites (Gloucestershire Royal Hospital & Cheltenham General Hospital).

- Support the other rota co-ordinators with the process for Consultants & Junior Doctors Annual / Study Leave, adhering to the Trust’s and our local leave policy.  

- Identify and implement opportunities for service improvement.

- Covering and backfilling rota gaps at times requesting Doctors to cross site cover in order to ensure accurate staffing levels.  

- Cover commitments and take on additional responsibilities when other rota co-ordinators are on leave/sick.

- Submit any additional locum shifts on Locum’s nest.

- Carry out any other duties that reasonably fall within the general nature and level of responsibility of the post, and as determined by the General Manager.

Qualifications

Essential criteria
  • GCSE in Maths or English (or equivalent)
  • Advanced keyboard and computer skills (Microsoft office)
  • Previous experience with using Excel and Word

Experience

  • Previous experience in managing rotas
  • Experience of working under pressure
  • Experience of working as part of a team

Knowledge/ Skills

Essential criteria
  • Excellent written/verbal communication skills
  • Ability to manage and prioritize workload
  • Ability to work using own initiative with excellent organisational skills and meticulous attention to detail
Desirable criteria
  • Proficient in the Trust IT systems such as TrakCare
