Job overview

To support the Unscheduled Care Team to deliver the service by ensuring the smooth co-ordination of the medical on call rotas for the Junior Doctors and Acute Medicine Consultants for Gloucester Royal and Cheltenham General Hospitals.

The post holder is responsible for the provision of effective rota management by forward planning and by ensuring all in and out of hours rotas are covered by the most appropriate and cost-effective solution.

They will be responsible for finding internal cover for vacancies and other absences and proactively managing vacancies in conjunction with medical staffing.

The post holder will construct, publish and distribute named rotas in line with rota patterns set out by Medical Staffing.

Main duties of the job

- Ensure efficient and effective rota cover across both sites (Gloucestershire Royal Hospital & Cheltenham General Hospital).

- Support the other rota co-ordinators with the process for Consultants & Junior Doctors Annual / Study Leave, adhering to the Trust’s and our local leave policy.  

- Identify and implement opportunities for service improvement.

- Covering and backfilling rota gaps at times requesting Doctors to cross site cover in order to ensure accurate staffing levels.  

- Cover commitments and take on additional responsibilities when other rota co-ordinators are on leave/sick.

- Submit any additional locum shifts on Locum’s nest.

- Carry out any other duties that reasonably fall within the general nature and level of responsibility of the post, and as determined by the General Manager.

Detailed job description and main responsibilities

- The post holder must support the Unscheduled Care Team to deliver the service by ensuring the smooth co-ordination of the medical on call rotas for the Junior Doctors and Acute Medicine Consultants for Gloucester Royal and Cheltenham General Hospitals.

- To liaise with the Medical Workforce team to ensure that all NHS locums have the appropriate pre-employment checks in place.

- To ensure that a proactive role is taken in the organisation in sourcing locum cover and ensuring that service managers, clinical leads and directors, other service users are kept up to date of gaps. If cover cannot be found then the site’s escalation process should be followed through to the USC Managers.

- Flexibility to cover other rota coordinators work within the department during times of annual leave or sickness.

- To ensure that locally agreed locum rates are maintained.

- To ensure the prompt and accurate processing of payments to locums and internal members of staff when extra shifts are worked.

- To work in an organised and methodical way, ensuring weekly rotas are built at least 8 weeks in advance.

- Any other rota administrative duties as directed by departmental manager.

Qualifications, Skills and Experience

Essential criteria
  • Previous experience in managing rotas
  • Experience of working under pressure in a fast paced environment
  • Experience of working effectively autonomously and within a team
  • Excellent written/verbal communication skills
  • Ability to manage and prioritise workload
  • GCSE or equivalent at grade C or above, including Maths and English
  • IT Proficient
Desirable criteria
  • Ability to work using own initiative with excellent organisational skills and meticulous attention to detail
  • Proficient in the Trust IT systems such as TrakCare
