Job overview

Gloucestershire Lymphoedema Service are looking for an experienced administrator who will be based at Southgate Moorings.  Are you an enthusiastic and pro-active person who would like to join our team?

We are a small, busy and friendly countywide team.  

The post holder will work closely with the Lymphoedema Lead and other members of the clinical team to ensure the administration functions within the Lymphoedema department are delivered.  This will require efficient administrative, communication and interpersonal skills.  

Applicants should evidence an ability to remain calm under pressure along with a willingness to undertake and learn new tasks.  A range of communication skills, verbal and written, are essential for this role as is the ability to manage your own workload and work to deadlines.  Applications should evidence ability to work effectively without supervision.

The role is extremely varied which requires the ability to deal with a wide range of duties.  The successful candidate will contribute to the continuing development of administrative support in a fast-paced environment.

Main duties of the job

·   To provide administrative support to the Countywide Lymphoedema service.

·         Administering clinics, managing appointments and patient records.

·         Processing patient new referrals on system

·         Scanning of documents and attaching to patients notes. Telephone, email and other electronic communication with patients, carers, colleagues and other health and social care professionals

Detailed job description and main responsibilities

·         To use and maintain spreadsheets and databases to accurately record referrals, and garments sent out

·         To process invoices using the internal electronic system

·         Arranging the servicing of medical equipment

·         Ordering patient specific products for use in the service clinic setting or for domiciliary contacts

·         Checking and sending out garments to patients recording information on the patients notes

·         To prepare for and attend meetings to take formal notes and make these available for review after the meeting.

·         To maintain effective filing systems, electronic

·         Administer face to face and e-learning training in respect of lymphoedema care delivered to colleagues

·         To triage telephone calls to assess urgency and to take accurate messages that may require tact and sensitivity

·         To order stationery and stock as appropriate, using the internal electronic procurement system

·         To undertake secretarial / administrative duties as requested by the lymphoedema or countywide team

·         To work within the rules of the NHS Gloucestershire Patient Confidentiality agreement, by dealing securely, both paper and electronic, with all Patient Identifiable Data (PID) with care and sensitivity

·         To participate in regular administration team meetings in order to maintain and develop office systems and secretarial standards to support the service

·         To provide cover for A&C colleagues within the countywide directorate for annual leave and sickness???

·         The ability to work accurately to a high standard of presentation

·         To attend mandatory training sessions and updates as required to the role

·         To engage in own supervision and appraisal procedures

·         Cancel and book clinics on Bookwise

·         Liaise with creditors and procurement

Essential criteria
  • Educated to GCSE level in Mathematics and English to Grade C and above.
Desirable criteria
  • NVQ level 2 in administration or an appropriate equivalent qualification or experience.
