We have an exciting opportunity to join the Head & Neck team as a Speciality Co-ordinator for ENT.
The post holder must ensure the provision of high-quality patient care by providing an efficient and effective full administration service for the Consultants, designated medical staff and other health care professionals.
To act as a first point of contact for all forms of communication for the Consultants and the wider team. To monitor the timetable of the consultant team, taking an overview of the co-ordination of inpatient and outpatient commitments. To communicate appointment and admission related information to patients and / or carers.
To support the administrative pathway ensuring patients are seen within the mandatory waiting time targets.
Main duties of the job
1. To co-ordinate and be responsible for the provision of a comprehensive secretarial and administrative services to the Consultants and the wider team.
2. Day to day management of the Consultants diaries eg organising clinic commitments, arranging appointments.
3. To maintain an overview of the consultant and team timetables to ensure full utilisation of clinic.
4. To arrange special investigations and action other issues arising from clinic appointments, ensuring that all tasks are dealt with in order according to their urgency.
5. To oversee appropriate elements of the administrative outpatient new appointment waiting times within Trust-wide agreed timescales. These duties will include:
- Monitoring referrals awaiting status application by consultants and take appropriate action to ensure this process is not delayed.
- Taking appropriate action to ensure that requests for diagnostics and follow-up appointments are processed in a timely fashion.
- Remove patients from the waiting list where indicated (e.g. following DNA, patient request etc)
- Regularly validate patients on the waiting list as per waiting list policy, actioning and recording all outcomes.
7. To maintain an accurate and current filing system, ensuring letters, clinical reports, diagnostic test results and other notes are filed in the correct patient's medical records.
8. To ensure all correspondence is processed promptly and accurately from audio and verbal instructions.

Training and Qaulifications
Essential criteria
- Good standard of general education including english language, maths of GCSE to grace C or above or working to equivalent standard
- Secretarial/Senior administration training or relevant experience
Desirable criteria
- Customer Care Training or similar
Experience and Knowledge
Essential criteria
- Experience of working with IT systems e.g. Word/Excel/Access/Powerpoint
- Experience of being in a busy environment
- Experience of adhering to targets, establishing efficient office systems and processes
- Experience of organising own work
Desirable criteria
- Experience of working in an NHS environment of public sector
- Knowledge of outpatient clinic structures, waiting lists and outpatient operational procedures
- Experience of using databases
