BAND 3 - ADMINISTRATION VACANCY - 1 X FULL TIME (9-5PM)
37.5 hours a week
We are investing in our frontline teams and looking for talented people to join us.
Administration vacancies within the friendly Clinical Support Service (CSS) team within Children and Young People's Specialist Services.
Are you an administrator preferably with NHS experience?
The successful candidate will:

Main duties of the job
The successful candidates will:
* cross site working, supporting clinicians based at Watford, St Albans and Hemel Hempstead. Main base is Peace Children's Centre in Watford.
* secretarial and administration experience.
* have excellent organisational, IT and communication skills with an eye for detail.
* enjoy the challenge of working in a busy environment with a positive team approach.
* book complex appointments using SystmOne - experience of SystmOne and excel an advantage.
* have a full valid driving licence and access to a car to use regularly for business purposes is essential (unless you have a disability as defined by the Equality Act 2010).

Detailed job description and main responsibilities
To provide a comprehensive administrative and secretarial support to the Children’s Specialist Services to enable them to meet client needs and undertake their role.
This post will involve supporting all of Children's Specialist Services and include dedicated administrative support for Community Paediatrics and the Children's Hearing service.
To provide administration support across all services and centres.
Main point of contact for clinical staff and the wider team, providing cross-cover to the CSS Administration Team, to maintain the smooth running of services in periods of absence eg. Annual Leave.
To undertake a wide range of secretarial and administrative tasks, including having personal responsibility for a number of specific tasks and for a given service for which they are responsible, providing cross cover for tasks/responsibilities for any service should the need arise.

Qualifications & Education
Essential criteria
- Educated to GCSE Level (or equivalent) in English Language.
- NVQ 3 in Business/Administration or equivalent knowledge & experience.
- ECDL or equivalent qualification.
Experience & Knowledge
Essential criteria
- Previous experience of working as a Secretary and/or Administrator in a busy office/secretarial environment.
- Knowledge and experience of using/implementing secretarial and administration procedures and processes.
- Good written and oral communication skills to converse and correspond with a range of service users and partners regarding complex and sensitive issues via face to face interactions, telephonically or documentation.
- Able to work both independently and in a team.
- To be accurate, flexible and work under pressure.
- Ability to communicate when barriers to understanding exist.
Skills & Abilities
Essential criteria
- Advanced IT skills and knowledge of computer office software, e.g. Microsoft Word, Excel, etc
- Able to learn specific internal IT programmes e.g. SystmOne and be able to competently use on a daily basis.
Other Requirements

- Car driver with ability to travel routinely across HCTs areas to other Trust sites or external locations when required. Hold a full, valid, UK driving licence and have access to a car to use for business purposes (unless you have a disability as defined by the Equality Act 2010)

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
