Job overview

This is a busy and varied role, requiring flexibility, attention to detail, and the ability to multi-task. The focus of the role is to provide professional, front of house service at one of NHS Kent and Medway’s core offices, as well as undertaking duties in the support of the Office Management and Estates function.

One of the post holder’s key roles will be to manage the running of their designated office, including being responsible for meeting and greeting visitors, booking meetings/rooms, and ensuring a professional and comprehensive front of house service.

Additional duties will include answering the NHS Kent and Medway general enquiries line, managing generic inboxes that support both internal staff and external members of the public, supporting the Office Manager and Fire Health and Safety Manager with administration tasks and project work, and all day to day office related duties that ensure the efficient running of the office.

The post holder will have excellent planning and organisational skills and be a flexible team member, able to contribute positively to the successful running of the Office Management and Estates team.

A high standard of organisational skills are required, along with customer service skills, excellent written and verbal communication skills and the post holder will need to be proactive and approachable.

Main duties of the job

 • Day to day oversight of designated office, ensuring everything is maintained and working efficiently.
• Liaising with landlords, their agents, and facilities management contractors to ensure the smooth running of offices.
• Providing full front of house / reception duties to ensure that staff and guests are received courteously and efficiently.
• Providing a sign-posting service for the public and staff via the phone, email and face to face.
• Ensuring that all NHS Kent and Medway general enquiries phone calls are handled politely and, ensure that calls are passed onto the appropriate person in a timely and accurate manner.
• Supporting the Office Management and Estates team duties, contributing to the development of the office systems and processes, and ensuring provision of cross-cover for team members in times of absence.
• Managing the corporate credit card process, credit card inbox, and petty cash office budget ensuring that all requirements are met.
• Verifying all Office Management and Estate related invoices.
