Main duties of the job

This is an ideal opportunity for an individual with previous administrative and customer service experience to gain exposure to working within a Human Resources environment. 

The post holder will be valued member of the employee relations team and will deliver a range of administrative activities that support the work of the Employee Relations team and HR Business Partners.  This will include providing support for our Joint Consultation Committee, administration of maternity, paternity, adoption and shared parental leave. As well as providing administrative support involved in HR investigation processes, including minute taking, writing formal invite letters, organising/printing hearing packs, coordinating diaries and making arrangements for formal hearings.

The post holder will be expected to act on their own initiative, only escalating queries as necessary.

Detailed job description and main responsibilities

Key responsibilities:

Process maternity, paternity and shared parental leave applications in a timely manner; responding to queries from members of staff and their managers on the policy and entitlements.

Assist in the production of agendas, and taking minutes for our Trust Joint Consultation Committee, including booking rooms, organising logistics and record keeping and supporting any other committees on request from the HR Director.

Produce an HR policy tracker and co-ordinate with colleagues across the HR services to ensure that a timetable of review is implemented and delivered to the deadlines agreed.

Support the HR team with updates of policies, forms and procedures as required.

Support the Employee Relations team with arrangements for investigation meetings and formal hearings; including diary management, room bookings, printing and organising of electronic packs of documents and liaison with managers, members of staff and union representatives.

Support the Employee Relations Team with complex investigations by taking minutes at the investigation meetings, checking these with the Senior ER Advisor and sending these to the witnesses involved in the investigation.

Keep accurate and contemporary records of support and advice given to managers relating to short and long term sickness in our case record system, and supporting the ER team to log all ER cases on the system including formal cases and informal conversation of concern records

Answer telephone and general email queries through the employee relations inbox on behalf of the team

Office Management.

Responsible for allocating and checking that queries has been followed up.

Undertake general administrative duties for the Employee Relations Team e.g. filing, forwarding correspondence, photocopying etc.

Education and Training

Essential criteria
  • NVQ Level 3 or equivalent experience
  • High Good standard of secondary education, including GCSE, or equivalent, English and Mathematics.

Knowledge and Skills

Essential criteria
  • Excellent IT skills with the Ability to use word packages (including mail merge), databases and spreadsheets to the level of inputting and retrieving information.
  • Highly developed clear and accurate written and verbal communication skills
  • Excellent customer service skills and the ability to respond appropriately to questions and queries from a wide audience
  • Able to deal with unpredictable situations and work under pressure / to tight deadlines
