An exciting opportunity has arisen to join the recruitment team as a Resourcing and Recruitment Assistant.
The post holder will ensure provision of an efficient and effective recruitment service in line with our recruitment policy. You will need to be customer orientated and a committed individual who enjoys providing a first class service to managers and candidates. This role will also involve international recruitment requirements across all disciplines within our organisation.
This position will not be supported for visa sponsorship. All applicants are expected to have valid right to work document to work in the UK when applying for this position.

Main duties of the job
Working in a busy environment as part of a supportive team you will manage high volume recruitment and associated administration activity. The role will involve working as part of a busy team, liaising with managers and candidates to ensure that all recruitment requirements are met. You will also be required to provide advice, guidance and administrative support for all international recruitment and associated issues.
The workload is varied and therefore your ability to prioritise your work with minimal supervision is essential. Excellent customer service skills and attention to detail are also paramount.

Detailed job description and main responsibilities
To receive visitors to the office in a professional manner (internal and external to the Trust), ensuring they are given accurate information/documentation as requested, or refer them to the appropriate person/department
Deal effectively and promptly with incoming telephone enquiries, in line with the Data Protection Act
Provide advice on current job availability TRAC through telephone enquiries and in person
To create a job file for each post, ensuring all relevant information is included and that job packs are of a high quality
Regularly liaise with the Resourcing and Recruitment Manager to review live vacancies
Prepare interview pack for the hiring managers, ensuring all relevant documentation is enclosed in an effective and timely manner
Request references and chase responses
Send regret letters via Trac to unsuccessful candidates within the agreed KPI
Ensure Disclosure and Barring Checks are completed as appropriate, referring to policies in order to ascertain appropriate checks required
Ensure all relevant paperwork is in place prior to the candidate’s provisional start date, chase candidate where necessary, liaising with Senior Resourcing/International Recruitment Specialist
Verify ID in line with Trust policies and current legislation
Produce ID badges for new starters, current members of staff and Executive Directors using designated software
To ensure confidential waste procedures are adhered to within the department, collating documentation for confidential disposal as/when necessary
Ensure all the candidate paperwork is saved as per the policies and procedures
To undertake photocopying and scanning as required
To arrange appropriate pre-employment and post-employment checks and monitor for return
Support the Trust in delivering the WRES Action Plan
Comply with Resourcing and Recruitment KPIs, showing good quality and productivity
Support the Trust’s performance in achieving effective resourcing and recruitment that promotes a positive experience from the moment a role is planned, advertised, to the moment a potential employee commences the role
Proactively identify opportunities to improve processes and systems
Manage own workload ensuring a timely and effective recruitment process
Ensure all recruitment is in accordance with Trust procedures best practice and employment legislation
Take responsibility for ensuring that all documentation is of a high and consistent quality
Effectively and professionally address escalation situations, particularly those related to resourcing and recruitment. This may require alteration of plans and emergency action plans to be implemented
Assist with the day to day running of the International recruitment project, providing pastoral support to new recruits as required

Education and Training
Essential criteria
- NVQ Level 3 or equivalent experience
- GCSE standard of general education
- Evidence of CPD
Desirable criteria
- Studying for CIPD qualification
Knowledge and Skills
Essential criteria
- Knowledge and understanding of employment law, Immigration processes and regulations, and Disclosure and Barring checks as they apply to the NHS recruitment process
- Highly developed organisational skills
- Excellent written and verbal communication skills
- IT literate with knowledge of software including Word and Excel
- Ability to prioritise own workload, responding to changing demands
- Ability to work alone and as part of a team.
- Excellent interpersonal skills
Desirable criteria
- Understanding of NHS terms and conditions of employment and immigration law
- Knowledge of ESR, TRAC and NHS jobs
Experience

- Previous experience of working within an administration role
