Job overview

The post holder will provide day-to-day support to the Executive Assistant to the Chief Medical Officer and Deputy Chief Medical Officers.  This role will provide full support to the above and work closely with and support the Deputy Chief Medical Officer for the Workforce.  Support to the Chief Medical Officer and Deputy Chief Medical Officer for Quality and Safety will be as and when required.

To provide administrative support, to ensure the efficient running of the duties for the Deputy Chief Medical Officer for the Workforce, and to work closely with the Executive Assistant to deliver a high-quality service to the medical directorate and work in close partnership with the other admin support within the support services.

Main duties of the job

To provide full administrative support to the Executive Assistant to the Chief Medical Officer and Deputy Chief Medical Officers on a daily basis.

To provide diary management and full administrative service for meetings, preparing agenda papers, taking minutes and actions, and following up actions.

What is High Cost Area Allowance?

The High-Cost Area (HCA) allowance, also referred to as London Weighting is a payment made to employees who work in London and the surrounding areas.

As this post is based in Dartford, Gravesham or Swanley, the successful applicant will receive an additional payment each month.

5% of basic salary, subject to a minimum payment of £1,192 per year and a maximum payment of £2,011 per year (the agreed annual amount will be divided into 12 equal amounts and paid monthly)

Detailed job description and main responsibilities

Planning, organising, and maintaining diaries – booking meetings and making appointments, dealing with any issues appropriately, and ensuring effective time management.

Compile meeting agendas, chase paperwork and circulate papers, and take minutes within agreed timescales and protocols.

To take minutes and/or notes of meetings where confidential information may be discussed judgment will need to be made in relation as to how minutes are recorded sensitively and accurately.

Essential criteria
  • GCSE Level passes in Maths and English
Desirable criteria
  • Educated to NVQ Level 3

Experience

Essential criteria
  • Previous experience in working in an office environment for a minimum of 2 years
Desirable criteria
  • NHS Experience

Knowledge

  • Outlook and Word Packages
  • Minimum basic Excel setting up of spreadsheets and updating for reports
