We are recruiting for a Directorate Clerk who shares our ambition and vision to deliver the Best of Care by the Best of People and has the drive to take us forward, by ensuring that the Trust continues to be the first choice for patients and our staff.
Main duties of the job
The successful candidate will be responsible for managing the flow of medical records in this busy department, tracking and delivering large volumes of notes to a variety of locations across the hospital.
As a Directorate Clerk you will be a vital part of the Typing pool team. Your key responsibilities will be to print and file medical correspondence appropriately, sending copies to patients and external agencies as directed by the typists.
In addition to supporting the Typing Pool Team, the Directorate Clerks work with all medical specialties to ensure that medical records are available for audits, inpatient and outpatient appointments throughout the hospital. They are also responsible for collecting medical records from a central Transit area and delivering them to medical specialty administrative teams located across the hospital site.

Detailed job description and main responsibilities
To be responsible for tracking in clinics received into the Typing Pool and detail their receipt onto the Typing Pool database accordingly
To be responsible for collecting and delivering case notes to and from the Transit Area, outpatients areas, wards and departments; tracking them to their new location(s).
Escalate all data retrieval issues to the Typing Pool Team Leader/Service Manager(s)
To provide an accurate daily list of case notes unavailable for clinic/wards to the Typing Pool Team Leader and the Patient Service Centre Team Leader/Coordinator
To coordinate the search for missing notes escalating any problems immediately to the Typing Pool Team Leader and Service Manager(s) accordingly
The post holder will be required to communicate effectively both electronically and verbally
with teams across the Acute & Continuing Care directorate
To maintain the case note request list ensuring that the list is checked twice daily as per the Health Records Policy
File clinical letters in correct order and track notes back to relevant service areas.
Update the Typing Pool database appropriately

Essential criteria
- Good GCSE general education including English and Maths
Knowledge
Essential criteria
- Computer literate, in particular use of MS windows, Excel and Outlook
Experience

- Experience of working within an acute hospital environment is desirable, but not essential
Skills

- General Office Skills
- Good Communication skills – written and verbal

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
