We are recruiting for a Ward Clerk/ Receptionist who shares our ambition and vision to deliver the Best of Care by the Best of People and has the drive to take us forward, by ensuring that the Trust continues to be the first choice for patients and our staff.

Main duties of the job

The successful post holder will show good organisational skills, be patient-centred, methodical and have excellent IT Skills.

Ward Clerks and Receptionists are key to the smooth running of departments and we are looking for an applicant who enjoys working as an integral team member in a multi-disciplinary team.  In addition to supporting the Frailty wards at Medway Hospital this post is extended to providing remote cover to our 22 bedded unit at Sheppey Community Hospital. 

The successful potholder would be required to work some evenings and weekends.

Detailed job description and main responsibilities

Admitting, discharging and transferring patients onto the Bed Management System. Reviewing EDNS (as required) and ensuring patients’ personal details are up to date and correctly entered onto the PAS System, with the use of EPR.  Inputting and amending Bed Occupancy System for Nursing Staff. Printing handover lists using the electronic patient systems as necessary.

Receiving and processing patients’ case-notes and ensuring notes available for ward rounds. Maintaining of patient paperwork in readiness for Ward rounds. 

Collecting Patients’ case-notes from the Health Records Department, Transit area 

Collection of Ethnic and Religious Data and inputting information onto PAS System 

Acting as Stage One Officer to determine overseas patients’ liability for treatment charges and informing the Overseas Officer

Filing, updating and maintenance of patients' records, ensuring Patient Front sheet contains correct details 

Delivery of post, diagnostic and prescriptions Forms to departments and collection of drugs from Pharmacy as appropriate 

Assisting Nursing staff with processing of patients’ property and valuables in accordance with policy and procedures and arranging for property to be taken into General Office for safe custody 

Liaising with General Office regarding patients’ pensions/benefits 

Organise and book departmental clinics on the PAS system ensuring that all necessary documentation is available and all patient information is correct and amending where needed. 

Greet patients and arrive them on PAS system, answering any queries they may have and dealing with any general problems they may have during their visit

Liaising with specialty pathway co-ordinator’s in relation to EDNs and admittance notification for GP’s for completion by medical staff

Arranging ambulance transportation where authorised

Ordering and maintaining ward stationery and supplies through Integra and NHS supply chain

Ordering of patient supplies through teletracking system

Completion of routine maintenance requests for forwarding to Estates Department 

Receiving telephone calls, taking and relaying messages and referring calls as appropriate

Answering patients and relatives general enquiries and assisting them with any problems throughout their stay

Liaising with other Hospitals and Departments, Social Services, GP Surgeries and Home Help Services and close working liaison with the Directorate of Medicine and Emergency Care. 

Arranging for requests for nursing aids, walking aids, surgical appliances to be processed with the appropriate departments  

Photocopying of paperwork as required and scanning as per policy guidelines 

To provide cover for annual leave and sickness leave on any of the medical Wards as directed including weekend and evening cover. 

Ensuring all mandatory training is up to date and all Trust policies are adhered to 

Any other duties as directed by Line Manager, Senior Nurse and management team Medicine, Emergency Department & Critical Care Division

Qualifications

Essential criteria
  • Qualifications Educated to GCSE level including English or equivalent qualification/experience

Knowledge

  • Excellent communication skills – written and verbal
  • Excellent interpersonal skills, with the ability to work across the organisation liaising with different levels of personnel

  • Previous administrative expierence (preferably NHS background but not essential)
