Business Support Assistant

NHS AfC: Band 4

Job overview

Care and Treatment Reviews (CTRs) and Care, Education and Treatment Reviews (CETRs) are part of NHS England’s commitment to transforming services for people with learning disabilities, autism or both. Kent and Medway ICB has implemented a Dynamic Support Database (DSD) as a means of supporting those most at risk of admission to mental health hospitals and / or out of area placements, thereby reduce reliance on in-patient care and find local community solutions wherever possible.

We are seeking an experienced and organised administrator to provide a support function for the Dynamic Support Database and CTRs and CETRs across Kent and Medway ICB. The successful candidate will work alongside commissioners, placements and quality colleagues and will possess excellent communication and interpersonal skills. They will demonstrate a high level of organisational skills and have the capacity to cope with highly emotive and sensitive information. The role requires experience of working with a number of agencies and organisations and will involve liaison with clinical and non-clinical staff involved in an individual patients care.

Due to the dynamic and evolving scope of the Learning Disability and Autism Programme,  the responsibilities for this role are likely to develop and change over time depending on the needs of the system and therefore the post holder will need to be able to adapt with these changes.

Main duties of the job

• To deliver an effective level of support to the LDA programme with focus on the development and monitoring of the Kent and Medway Dynamic Support Database and consistently deliver a customer-focused service which promotes effective working relationships.

• Support the design and implementation of data management and operational processes and the ongoing review and continuous improvement of these processes.

• Use a range of sources to analyse the operational components of the DSD and make adaptations to processes.

• To plan, organize & book all DSD Support Forums, ensuring members have access to relevant information in order to make patient level informed decisions on care.

• To ensure DSD Support Forums have accurate timeframe actions completed and where appropriate are reviewed in line within current guidelines.

• To ensure DSD information is kept up to date and regularly communicated to system providers.

• Ensure DSD dashboard data is accurate by completing regular data cleansing exercises with relevant organisations via outputs from the Kent & Medway Care Record Summaries.

• Provide upon request data reports to relevant boards on the DSD.

• Excellent communication skills are required in order to communicate with all NHS staff, social workers and professionals employed by partner agencies.

• Open, friendly and supportive approach to dealing with parents/families who may be in distress.
