Job overview

Administrators within the Health Visiting Service play an important role in ensuring that all administrative elements of the delivery of the Healthy Child Programme to families with a new baby or child under five-years-old are co-ordinated and delivered effectively. Main duties of the role include: receiving and processing referrals, booking appointments, maintaining accurate computerised records of patients reports and letters, updating trackers and database systems. There may also be the requirement for Administrators to provide reception duties to enable the efficient delivery of services from Family Hubs and other community settings.



The Administrator role is varied and fast paced requiring a flexible and responsive approach, with the ability to deal with questions or issues that are challenging in nature. Administrators provide essential support to the clinical teams which includes providing administrative cover for the Health Visiting duty line on a rota basis which operates Monday to Friday 9am-5pm which manages both routine and complex information and guidance to families and colleagues internal and external to the Trust. Administrators also offer support with administrative duties associated with safeguarding workstreams which requires a high degree of confidentiality and sensitivity.

Main duties of the job

Administrators provide comprehensive administrative support to an entire team or group of people within a locality, which includes having a thorough understanding of the team’s operations and daily activities. Administrators oversee performance activity, ensure elements of the patient journey are co-ordinated and support short term projects.

Administrators are an integral part of service delivery and as such professionals in this position have excellent people skills, are great at multi-tasking and prioritising as well as being incredibly organised.

Qualifications

Essential criteria
  • Level 3 qualification (e.g. 2 A/AS levels, NVQ level 3, BTEC diplomas, certificates and awards, international Baccalaureate diploma) or equivalent demonstrable experience
Desirable criteria
  • NVQ Level 3 Business Administrator, Customer Service Specialist or Team Leader or Supervisor

Experience

Essential criteria
  • Administrative experience Experience of team working and versatility to take on a variety of tasks
Desirable criteria
  • NHS administrative experience Experience of handling confidential information Experience of working with members of the public

Knowledge

Essential criteria
  • Advanced knowledge and understanding of Microsoft Office packages e.g. Outlook, Word, Excel and PowerPoint
