Medical Staffing Administrator- 30 hours - Permanent - Band 3

An exciting opportunity has arisen for a dynamic Administrator with very strong mathematical skills to join our Anaesthetic and Critical Care team here at Tameside Hospital.

The post holder will be required to provide an effective administrative service to the Anaesthetic and Critical Care Department, work on their own initiative, but as part of a bigger team – Rota Master and the Directotate.

The post holder will assist with the administration of rota coordination including booking bank or locum doctors, processing payments, producing generic work schedules and reports for internal stakeholders.

The post holder should demonstrate a willingness to help others and should prioritise work to meet conflicting deadlines and ensure the smooth management of Doctors both before and during their appointments.

 

 

Main duties of the job

RESPONSIBILITIES

  

· To maintain Medical and Dental Trust systems (CLW, DRS, TEMPre, Patchwork), e.g. accurately recording and deactivating starters and leavers’ details as required, accurately uploading (and deleting) locum shifts via the relevant system, keeping Medical Staffing trackers up to date. 

·  Recording sickness and ensuring that the Return to Work interviews are scheduled in Deputy Directorate Manager’s diary

·  Processing annual and study leave for the Medical Staff within the appropriate time scales and according to the Trust policies.

· Ensure systems are in place (and are being adhered to) relating to locum CVs, GMC checks, references, VISA/Right To Work status, vaccinations and DBS.

· Accurately extract data from the Trusts e-Job Planning system and produce regular progress reports on Microsoft Excel, which includes generating graphs.

· To assist with medical staffing queries during normal working hours.

·

· Any other duties as may be delegated by Directorate Managers.

KNOWLEDGE AND SKILLS

 

· To communicate accurate low level staffing related information and advice to staff, manager and recruitment agencies in a courteous and professional manner.

· Excellent communication skills, in order to convey information to staff, managers, and recruitment agencies

· Proficient knowledge of Microsoft Office programs including Excel, Outlook, Word, Teams and Sharepoint.
