Job overview

We are looking for a resilient, robust, self motivated support secretary to support the work of the Gynaecology secretarial team.  You will need to demonstrate attention to detail, have excellent communication skills, be well organised, flexible and self directive with a positive ‘can do’/problem solving attitude.  Excellent word processing and good general office skills are required.  Experience of working with confidential and sensitive information within timescales, deadlines and protocols is essential.  Being based in a busy office it is essential that you can work as part of wider team in the provision of health services to patients and families.

Main duties of the job

Core/Key areas will include: -

·         To provide a full medical secretarial and administrative support.

·         General office duties including e-mail and computer systems, word processing.

·         Assist the OBM/DOBM to facilitate the smooth running of the Gynaecology services.

The Family Care Division aims to deliver the highest standards of care in maternity, sexual health, gynaecology and a range of acute and community children’s services. We deliver over 6,000 babies and carry around 1,500 gynaecological procedures each year. The Trust also has a tertiary level Neonatal Intensive Care Unit, enabling 1 in 4 women across Greater Manchester to receive in-utero transfer and birth at extreme premature gestation at Bolton.

Detailed job description and main responsibilities

·         Provision of secretarial duties and administrative support to ensure the efficient and smooth running of the Gynaecology Service.  

·         Typing of day-to-day correspondence on behalf of the Consultant/s and/or practitioner/s working in the department, ensuring that the departmental clinical correspondence targets are adhered to.

·         Acting independently to prioritise work load. Exercise independent judgement and initiative when resolving problems.

·         To ensure the timely production of an accurate clinical record of each patient episode using relevant IT systems and databases, including case note tracking and logging 18 week outcomes onto LE2.2 

·         Minimising queries by ensuring letters are completed for each patient episode in a timely manner.

·         Receive urgent dictation from Clinicians, where necessary via the Digital Dictation systems in use, and prepare the requested correspondence and, if applicable, email the information via the secure email systems.

Qualifications

Essential criteria
  • Educated to GCSE ‘O’ Level or equivalent – including English Language
  • ECDL/ICT or equivalent computer skills
Desirable criteria
  • Medical Secretary AMSPAR or equivalent experience

Experience

Essential criteria
  • Experience of working in a busy office and dealing with conflicting demands
Desirable criteria
  • Experience as a medical secretary in a health care setting

Skills

Essential criteria
  • Confident in the use of computer packages such as Word and ability to learn new skills
  • Audio typing skills
  • Good organizational skills, ability to prioritise
Desirable criteria
  • Ability to use LE2.2
