Job overview
We are looking for a Clerical Assistant to join our team for a 12 month period. The post holder will provide clerical and administrative support to the Autism Assessment Pathway Team within the Community & Neurodevelopmental Paediatrics department. The role requires competency in general admin, keyboard skills, good communication skills and an ability to work well within a team. An ability to understand the need for and to maintain confidentiality is essential.
Main duties of the job
Working within a multidisciplinary team alongside Consultants, Practitioners, Nurses and administration staff you will provide administration support on a daily basis. This includes being the first point of contact for telephone queries from patients families. You will also be required to complete general administration duties including processing referrals, sending out acceptance letters and also decline letters.

Detailed job description and main responsibilities
• Accurately produce from audio transcription, patient related correspondence/reports of a sensitive and complex nature, using appropriate software and within specific timescales and ensure all letters are copied to the appropriate professionals, including patients
• To ensure a high standard of data quality at all times, in particular ensuring that patient demographic details are accurate and up to date by using the patient information system (Cerner)
• Transferring and booking in patient records using relevant systems.
• Open and prioritise correspondence (which is often highly sensitive and of a confidential nature) on behalf of the autism team/secretary ensuring that urgent correspondence receives prompt attention.
• Distribution of typed clinic letters and other relevant correspondence to other health professionals within the Trust/outlying district.
• Use of photocopier and email when necessary.
• Attend appropriate training, meetings and education sessions when required
• Work with managers to review working practices, ways of working and find solutions to problems
• Work with managers to improve quality and range of services, with resources being managed according to agreed policies and procedures

Qualifications/skills
Essential criteria
- GCSE English at Grade C/ grade 4 or above or equivalent qualification
- working knowledge of IT systems - word, excel, emails
- RSA/OCR Stage II Typewriting or Word Processing or Audio Typing OR equivalent level of skill
- Previous admin experience
- Good organisational skills and ability to produce neat & accurate documentation
- Effective listening and communication skills
- Ability to work as part of a team and be supportive to other team members
- Ability to be flexible and adapt to changing needs of the service
Desirable criteria
- ECDL or Audio Typing or equivalent
- Ability to understand, absorb and comply with procedures
