Intermediate Care Directorate is looking to recruit a part time Ward Clerk to support the friendly team at Rakehead Rehabilitation Centre

To provide clerical support to enable the ward to provide an effective and efficient patient service.  You will be the first point of contact for callers to the centre and will need to have a professional, friendly and empathic approach to the job.

Main duties of the job

To assist nursing staff in the reception of patients and relatives to the ward   and perform administrative duties. To liaise with patients and relatives in a caring and empathic way. Undertaking clerical duties as directed by the Ward Manager and other colleagues

Detailed job description and main responsibilities

1. Assist nursing staff in the reception of patients and relatives to the ward 

2. Clerical duties associated with the admission, transfer and discharge of patients.

3. Enter patient information on a computerised Patient Administration System.      

4.  Communicate with patients, visitors and colleagues by telephone, face-to-face or in writing, e mail etc. To maintain of the effective running of the ward.

5.  Ensure case notes are efficiently obtained, distributed and maintained

6.  Filing episodic clinical and nursing notes

7.   Filing investigation reports.

8.   Request x-rays, pathology reports from the appropriate departments.

9.  Communicate/consult with other departments, internal and external to the Trust, in furtherance of the service provided to patients.

10. Make follow-up appointments for patients when necessary.

11. Order and maintain levels of stock stationery, etc.  

12. Collect and distribute mail.   

13. General office duties e.g., filing photocopying etc.

14. Ordering transport for patients for discharge or to appointments.

  • Keyboard/Computer skills
  • Clear and accurate written/verbal communication and effective listening skills.
  • Provide reasonable flexibility in terms of hours worked, including weekends. Willing to adapt to the changing needs of the service.
  • Ability to understand and comply with procedures
Desirable criteria
  • Reception/ front desk experience
  • Familiar with computer systems
  • Customer service awareness /or similar training
  • Demonstrable personal drive and commitment to develop skills
