Job overview

The post holder will be required to provide administrative support to the Infection Prevention and Safety Team, including Infection Prevention and Control, Environmental Safety and Physical Health services.

The post holder will have a range of administrative duties with the delivery of day-to-day activities including electronic diary management, arranging meetings, minute taking, raising orders, handling telephone enquiries and management of a number of dedicated outlook inboxes.

The Post Holder must be a good team player and also have the ability to work on their own initiative and be able to communicate with staff in a professional way, and be computer literate with proficient Microsoft Office skills

Main duties of the job

  • Delegated responsibility for providing comprehensive secretarial/administrative service which may include compilation of reports and other correspondence on behalf of the Infection Prevention and Safety Team.
  • To be the point of contact for the Infection Prevention and Safety Team and continually promote the effective and efficient image of the service;
  • Dealing with enquiries, co-ordinating and sending out appropriate information as required and ensuring messages are communicated in a timely manner;
  • Receiving, allocating and despatching internal/external mail in line with the Trust and departmental policy and procedures;
  • Working collaboratively with other appropriate teams and departments.
  • Supporting managers and clinicians in decision-making through the delivery of information, that is accurate, timely and ‘fit for purpose’.
  • Ensuring a high standard of administrative service is provided including typing of routine information such as reports, minutes and other correspondence on behalf of the Infection Prevention and Safety Team and in accordance with Trust standards.

  • NVQ/Diploma level III in Administration or equivalent knowledge and experience
