An exciting opportunity has arisen for a Clinical Administrator to work in the Moving Well Services, based at the Minerva Centre, Lowthorpe Road, Deepdale, Preston PR1 6SB.
We are looking for a highly motivated, enthusiastic, and proactive individual. You must be able to demonstrate the ability to work in a challenging and demanding role. You must have proven knowledge of Administration procedures and have previous experience of audio typing.
The successful candidate will be enthusiastic about the challenges of working in a busy and constantly changing environment, with the ability to remain calm under pressure and to achieve strict deadlines. You will be a highly motivated individual and will have excellent communication skills.
The post holder will provide a comprehensive full range of duties to the service. The post holder will coordinate their activities with other members of the administration team to ensure an efficient and confidential service is provided.
The post holder is required to work flexibly in response to the needs of the service, providing cover to other teams as directed by the Admin Team Lead in liaison with the Deputy Admin Lead to ensure continuity of a quality service. There will be an expectation from the post holder to cover Blood Monitoring admin at another NHS site.
Main duties of the job

Working Pattern (Hours): Part Time
Hours/ Sessions per week: 30 Hours per week
- Follow statutory policies and procedures relating to the safe storage of information i.e. Caldicott – confidential patient information.
- Typing of clinic letters, via digital dictation, Emis database, discharge summaries and admin letters from tapes or dictation or written copy as required. Letters can sometimes contain distressing circumstances.
- Use advanced word processing and audio typing skills to undertake typing of clinical and administrative documents including clinical letters, discharge summaries, reports and medico/legal documents.
- To provide support to the referrals process for Clinics, ensuring they are processed within agreed timescales.
- To accurately record all non-attendees to clinic and inform clinical staff.
- To accurately transcribe highly complexed information of Blood results. Ensuring attention to
detail at times. - To alert the Clinical Team to any blood results that maybe abnormal.
- Maintain all patient records which requires accurate documentation of blood results.
- To accurately record dosing information to patients and GPs.

Detailed job description and main responsibilities
- To be the first point of contact to the Blood clinic via the telephone, ensuring accurate messages are recorded, transcribed and communicated to the relevant clinician.
- To be the first point of contact for the unit/department providing a comprehensive customer service and enquiry provision to internal and external customers of the Trust
- To accurately record results in patients’ blood books.
- Liaising with patients who attend the Blood clinic dealing with any queries regarding their appointment or their blood book.
- To provide an effective support service and be the principal communication link to patients, carers and support services.
- Provide a comprehensive administrative service which will include compilation of reports and other correspondence on behalf of the team manager and other members of the team, ensuring a high standard in accordance with Trust standards.
- To create and maintain effective working relationships with staff at all levels, internal and external across the whole health economy.
- Work collaboratively with the appropriate management teams and other departments including clinicians to ensure that the appropriate leads are notified in the case of matters of urgency and dealt with in a timely manner.
- To undertake ordering of goods for the service from NHS Supply Chain or E-procurement
system. - To provide a secretarial function to the Team Leader and Deputy Team Leader.
- To arrange supervisions and PDRs on the Managers behalf.
- Attend and participate in team meeting and admin services meetings as required.

- NVQ Level 3 in Customer Care or Business Administration – or equivalent experience

Experience

- Previous experience as a Secretary/Administrator including diary management
- Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment.
- Experience of supporting and minuting meetings.
Desirable criteria
- Experience of working within an MDT preferably within an NHS environment.
Skills & Abilities
Essential criteria
- Takes a pro-active approach to tasks.
- Ability to communicate effectively at all levels using email, telephone or face to face.
- Proven experience in producing minutes.
- Able to demonstrate skills in organising and prioritising of diaries and schedules.
