Business and Project Support Officer

The post holder will be responsible for the allocation, co-ordination and distribution of all project work generated by the senior leadership team to respective team managers and must self-manage and prioritise their own workload. The post holder must communicate effectively and work collaboratively with both clinical, non-clinical colleagues and external agencies to ensure the delivery of a professional and co-ordinated project management service.

The post holder will be the responsible officer to oversee systems management for Facilities Services, liaising with IT to ensure all packages are up-to-date, compliant and operated within the Trust governance processes.

On occasion the post holder will act as Mentor / Trainer to new members of the team as and when required. Other duties will be incorporated and subject to the ever-changing needs of a community setting.

The post holder will maintain and in conjunction with service leads develop Facilities Services in line technological advances to ensure the most efficient and effective processes are followed.

Provide a range of administrative and project support work to Facilities Services, to enable the department to improve its service to the patients it serves.

Act as the responsible person for oversight, input, and maintenance of applications, with a focus on Healthroster and other applications including but not limited to MiC4C (environmental audit), Accommodator (Accommodation management), Menu mark (Catering management including POS) Smartpage and TMS (Domestic Time Management system).

Lead on specific work streams, ensuring plans are in place for the completion of complex activities.

Provide high level support to projects / programmes which will include undertaking specific pieces of work.  Support production of written reports and documents e.g. programme / project updates and high-level reports.

Develop and ensure new processes and procedures are in place as they change through service improvement work.  Ensure communication with all stakeholders and provide training if required.

Qualifications

  • • Diploma level qualification in project management and/or administration/information.
  • • ECDL qualification or relevant experience.
  • • Educated to NVQ level 4 in a relevant subject or equivalent previous proven experience, together with a high level of numeracy and written and spoken English.

  • • Basic training qualification.
  • • Advanced EDCL.
  • • Prince 2 Foundation or equivalent.

Knowledge

  • • Significant project support experience including, initiating, and maintaining office systems.
  • • Knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint, and Access.
  • • Can demonstrate experience in dealing with the public and dealing with sensitive and confidential information.
  • • Advanced keyboard skills.
  • • Experience and understanding of project / programme methology and monitoring.
  • • Understanding of project and programme management methodologies, governance frameworks and processes used to support a Project Management office (PMO).
  • • Understanding data collection, collation and inputting into complex spreadsheets and documents.
  • • Experience of producing reports in line with key project reporting mechanisms.
