We are looking for an administrator for a part time Band 2 permanent position. This opportunity means that you will be working in a busy environment alongside a supportive admin team as well as working closely with Consultant Clinical Neurophysiologists and Clinical Physiologists alike.
You must be IT literate, have a good standard of general education, enjoy working in a busy environment. Training on our in-house booking and reporting software, Solus, will be provided.
Main duties of the job
A high degree of confidentiality is a must and knowledge of medical terminology is desirable as well as being able to confidently use Microsoft packages including Word and Excel.
You will be required to assist when needed by answering phone queries and meeting and greeting a variety of patients that come to our department.
Your main duties will include:
Inputting of referrals from email and post onto the department booking and reporting software, Solus. Organise incoming and outgoing email/post, referring enquiries to appropriate person if necessary.
When required, audio type/copy type letters, reports, or other clinical correspondence.
Ensure that all correspondence is checked and signed by the appropriate consultant (manual or digital).
Promptly file correspondence and investigation results.
Email clinical correspondence to originating referrer when required.
Prioritise own workload appropriately, referring any service concerns to the Admin Team Manager in a timely manner.
Maintain good relationships with all members of staff, always ensuring a high degree of confidentiality and integrity.
Communicate with a range of staff, users and visitors to the Trust/Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request.
Answer internal and external telephone queries from staff, patients, and others.
Assist admin team with general admin duties as/when required.

Qualifications & Education
Essential criteria
- Good general education to GCSE or equivalent
- Demonstrable working knowledge of Microsoft packages including Word and Excel.
Desirable criteria
- Audio typing skills
- ECDL or equivalent
- Knowledge of medical terminology
- Administrative skills
Knowledge & Experience
Essential criteria
- Previous experience of working with the public
- Experience of working in a busy environment and ability to change priorities to meet deadlines
- Aware of the concept and application of confidentiality
Desirable criteria
- Previous experience of working in a healthcare or related setting
- Experience of office work which includes telephone skills
- Experience of audio typing using electronic dictation/transcription
- IT literate
