Job overview
This Trust wide post, based primarily at LRI, provides administrative management to support and assist the delivery of placement and clinical teaching and assessment within UHL of Medical Students.
This role is to:
• Provide administrative management for Clinical Leads in the day-to-day operation of defined groups of medical students on placement within UHL.
• Organise student attendance at planned teaching opportunities.
• Responsible to monitor and collate student attendance and performance at teaching opportunities and report to the Department of Medical and Social Care Education of the Medical School.
• Organise and facilitate requirements of the Intermediate and Final Professional Examinations for their areas.
• Monitor and evaluate the effectiveness of education, training and development receiving, collating and distributing feedback.
• Provide flexible working hours to accommodate the different session durations, start and finish times.
• Deputise for the Undergraduate Medical Education Manager in their absence.
Main duties of the job
Support Undergraduate Medical Students
• Act as main reference point/source of information
• Manage process for elective students
• Monitor students’ sickness/absence
Support Teaching Blocks
• Support block leaders in the operation of blocks
• Coordinate teaching timetables & monitor effective delivery
• Ensure appropriate accommodation resources are available
• Coordinate clinical placements
• Produce course documentation
• Maintain records of student attendance
• Manage issues
Assessments
• Coordinate assessment activities & collate performance reports
• Organise formative assessments
• Administer end of block assessments
Examinations
• Organise & manage the End of Year/End of Block exams
• Manage allocation of examiners, students & patients
• Ensure appropriate resources are available
• Organise & oversee transport arrangements
• Manage an allocated budget
• Manage the database of patients, case mix, students & examiners
Strategic Planning
• Ensure sound/up to date knowledge, attend University/UHL meetings
• Develop & contribute to strategic planning initiatives
Working Relationships
• Domestic/Catering Service to ensure smooth running of the Centre
• Ensure good working relationships with Hospital Consultant & junior staff
Policy
• Responsible for collating information required to influence policy
• Support the Undergraduate Medical Education Manager in demonstrating Quality Standards compliancy & creating yearly report of Unit achievements
• Provide educational statistics & audit evaluation

This role (18.75 hours) will ideally be worked over 5 days (Monday-Friday) - 4 days is the minimum. You will be required to work across the three main hospital sites on a rota with 1 WFH day per week.

Training & Qualifications
Essential criteria
- NVQ/BTEC Level 4 or equivalent experience.
- GCSE Mathematics & English Grade C or above
Desirable criteria
- ECDL/Clait or other IT qualification
Experience
Essential criteria
- 3 years experience of working within an NHS environment – preferably with medical staff
- 3 years administrative experience co-ordinating and leading large scale administrative processes
- Experience of developing admin systems and processes and implementing change
Desirable criteria
- Experience of working within an Undergraduate Education environment
- Experience of working within a Medical Education environment
Communication and relationship skills

- Excellent communication skills and an ability to communicate with staff at all levels in different formats
