Job overview

An exciting opportunity has arisen to join the ward clerk team at Peterborough Dialysis Unit.

You will be working to support the ward staff and multidisciplinary team in the administrative and clerical processes and procedures associated with the running of a clinical service in support of excellent care for patients and their careers.

Main duties of the job

  • Be the first point of contact for staff, visitors and callers, respond to enquiries as appropriate and answering and directing calls.
  • Ensure messages are passed on to the relevant staff.
  • To be able to organise time effectively, to work well independently and as part of the team
  • The post holder should be able to communicate effectively with a variety of people remaining courteous at all times, especially when dealing with patients & relatives.
  • To be able to remain calm under pressure.
  • The post holder must be an excellent team player who works closely with colleagues to deliver a smooth sufficient service.
  • To book and coordinate the out-patient transport for patients on a daily basis, lease with transport providers to ensure a smooth service for patients.

Detailed job description and main responsibilities

  • Patient information & administrative duties, ensuring patient leaflets and information is in good supply.
  • Produce files for patients who attend the Peterborough Dialysis unit.
  • Using the Trust’s IT systems ensure patient case notes and relevant paperwork are updated and readily available, filed correctly.
  • Use the trust IT systems to reflect patient movements including admit, transfer and discharge patients and clinical attendances, always make sure the patient demographics are up to date and follow up appointments are booked.
  • Register new patients, source and retrieve case notes from the trust and other hospitals liaising with the medical records department
  • Ensure patient labels are attached to every document within the patient file.
  • Complete front sheets for the notes showing dates of admissions and discharges.
  • Merge paper case notes and supply comprehensive paper records to the clinical coding team to ensure activity is recorded correctly.
  • Ensure all transfer information is available within the patients notes where appropriate after a hospital sta

Receptionist duties

  • Be the first point of contact for staff, visitors and callers, respond to enquiries as appropriate as well as answering and directing phone calls.
  •  Ensure messages are passed on to patients from their relatives and messages given to the clinical team to call patients next of kin to update them

Experience

Essential criteria
  • Experience of working with the general public Basic knowledge of clerical duties and responsibilities
Desirable criteria
  • Previous experience as a ward clerk / clerical duties within a health care setting

Training and qualifications

Essential criteria
  • Good standard of written and spoken English Basic computer skills
Desirable criteria
  • Previous experience as a ward clerk / clerical duties within a health care setting Relevant computer typing / secretarial courses

Communication and relationship skills

Essential criteria
  • Caring & compassionate. Able to cope in stressful & demanding situations. Ability to uphold confidentiality. Able to prioritise and work in a multi-disciplinary team. Able to communicate effectively to individuals needs. Must be able to use own initiative.
