The E&F are seeking a personal assistant who can manage more than diaries and arrange meetings, our personal assistant provides a broad breadth of business administration and is an active member of the  team often being the first point of contact for our colleagues and System stakeholders.

There will be requirement to travel to other sites/hospitals on occasions in order to fulfil the demands of the role therefor a valid driving licence will be required. We are supportive of flexible working providing the service needs are met.

Main duties of the job

The successful candidate will be very enthusiastic, have a passion and desire to be the best, if we are the best then our patients also get the best care, we do not compromise. You will be a good communicator and able to deal with changing priorities and tasks .  You will often be expected to act discreetly, using your own judgement and initiative when dealing with information that is private, confidential or sensitive in nature. You will be someone who can learn systems quickly (we have a lot of them in the NHS) and be efficient in their use. Full training on systems will be provided.

This exciting role covers a variety of duties, a sample of which might be:

  • Comprehensive and confidential administrative and secretarial support including:
    • Typing, filing, administrative and personal secretarial duties
  • Monitor and action emails as appropriate
  • Prepare correspondence, reports, tables, and other documents including project plans and Gantt charts
  • Working with information provided via audio, manuscript, shorthand or email
  • Utilising the IT systems, e.g. e-mail, word processing, Excel, PowerPoint and other software packages

Pilgrim Hospital is situated beautiful countryside and serves the communities in the South Lincolnshire area. It provides all major specialties and a 24-hour major accident and emergency service.

 

Grantham and District Hospital serves the communities of Grantham and the local area. It provides ambulatory paediatric and accident and emergency services.

 

Lincoln Hospital is a thriving university city and with the opening of the medical school, it provides all major specialties and a 24-hour major accident and emergency service

 

United Lincolnshire Hospitals NHS Trust has been granted teaching hospital status, after demonstrating evidence to significant teaching commitment.  From now on it will be known as United Lincolnshire Teaching Hospitals NHS Trust.

Lincolnshire Community Health Services NHS Trust (LCHS) and United Lincolnshire Hospitals NHS Trust (ULHT) have come together in a Group arrangement, with the goal of improving the care provided to patients across the county.

 

This will not constitute a formal merger of the two organisations, but will bring the Trusts together under a single Board and Executive Leadership Team, with the goal of improving the care that is provided to patients both in the community and in hospitals across Lincolnshire. Both Trusts will retain their separate statutory names and legal obligations.

Qualifications

Essential criteria
  • GCSE English Grade C or above (or equivalent)
  • Good standard of English, to be able to spell and produce work with accurate grammar
  • Be familiar with a variety of software packages including Microsoft Word, PowerPoint, Excel spreadsheets
  • A secretarial qualification
  • RSA III word processing qualification (or equivalent)
Desirable criteria
  • Shorthand skills 60wpm
  • 5 GCSEs Grade C or above (or equivalent)

Previous Experience

Essential criteria
  • Exprience of preparing agendas, attending meetings and taking and recording minutes
  • Secretarial experience in a similar role
Desirable criteria
  • Experience of supporting Senior Managers and Directors of a large organisation
  • Prior working within an NHS setting

Knowledge/Skills/Aptitudes

Essential criteria
  • Competent audio typist – at least 40wpm
  • Computer literate to high standard – experience of using a number of software packages including Excel Microsoft, PowerPoint.
  • Ability to prioritise work effectively in order to meet deadlines
  • Ability to work on own initiative
  • Ability to write standard letters to routine correspondence and to type other documents, table, etc
  • Good communication skills (in writing and on the telephone)
  • Ability to understand context for discussions at meetings and to distil the key points into minutes and action plans
