Offboarding and Retention Coordinator

Offboarding is the description of the process of when an employee decides to leave the organisation or is required to leave the organisation by LPFT. Offboarding is as equally important as onboarding and includes a number of steps. These include practical actions such as documentation, equipment return, final pay and P45 process, but also includes undertaking 1-1 meetings to understand the reason for resigning from the post and offering appropriate alternative options to retain where appropriate.

This unique post will work will colleagues from Agenda for Change staff, medical staff and director level. The organisation works hard to attract and recruit high quality, compassionate colleagues and this role aims to help retain by addressing resignation communication at the earliest opportunity.

The overall purpose of this new role is to aid the retention of our staff by understanding why people leave and if there is anything we can do to retain them.    Where the decision is made to leave the organisation, the job holder will design, develop and coordinate a smooth offboarding process which ensures the staff member feels supported and valued throughout their leaving process.  

If you are the successful candidate, you will meet with every individual who resigns from their post, encouraging candid conversations about each circumstance.  You will support them and their manager through the offboarding process and you will have the ability to collate and analyse data that is collected to inform the trust of further actions that could help retention. 

You will need to be a confident conversationalist, be empathetic and willing and confident to speak with individuals at all levels of the organisation. 

As part of the Resourcing Team, you may be required to support other teams who support staff members at various points within their employment lifecycle.

To receive all resignation correspondence from staff members at LPFT.

To review and establish exit interview and questionnaire process for the Trust.

To arrange, conduct and document leavers interviews, focussing on rich qualitative data that will help understand reasons for leaving and inform further action by the Trust.

To develop the use of the Leavers dashboard on ESR in collaboration with others.

To collate all qualitative and quantitative data and report on data received through leavers interviews and elsewhere

To work through all leavers processes as defined by the leavers checklist, working directly with line managers where appropriate.

To offer appropriate alternative solutions to resignation from the post; for example, stay interview, an internal transfer request or mediation, OD intervention.

To analyse data, offer recommendations for actions to reduce staff turnover and present findings as requested.

To offer guidance and support to handover of duties and equipment at the agreed final employment date.

To work with key stakeholders, for example People Promise Exemplar Manager and wider systems colleagues on retention projects as required.

To provide support the wider people and resourcing team when required, with occasional weekend and event duties, where time in lieu will be given. At times, this may be a considerable part of the role.

Experience

  • Relevant experience in a people centred or care related area of work.
  • High level data interpretation and analytical skills and experience
  • Report writing and presentation skills
  • Excellent questioning, listening and speaking skills, which both calm, settle and inspire individuals to share personal experiences.
  • Competent computer based skills

  • Previous experience in a large complex organisation with multi-layered structures work closely together to achieve outcomes.
  • Significant face to face interventions for examples meetings, interviewing, counselling, mentoring, training, where excellent communication skills are constantly applied.

  • Ability to travel without the use of public transport to meetings and events in various locations, both in the county and further afield.

  • Ability to talk/listen/hear compassionately, putting individuals at ease rendering them able to share their reasoning for resignation.
  • Ability to act with sensitivity, tact and diplomacy, especially when handling complex, confidential or sensitive, political and contentious information
  • Ability to communicate professionally with a variety of stakeholders from members of the public, junior and very senior managers, directors of the organisation.
  • Work closely with colleagues across the People Directorate and teams across the trust to co-ordinate and align projects and priorities.
  • Be able to prepare documentation to communicate findings and trends from leavers in a number of forms to be understood by a wide ranging audience. For example, through use of business intelligence, presentations, excel and other forms.
  • Have responsibility for ensuring all materials comply with relevant legislation and guidelines, including the Data Protection Act, Disability Discrimination Act, Freedom of Information Act and W3C.
  • To manage own time to achieve 100% coverage of leaver interviews each month.
  • Undertake market research and maintain knowledge within field of expertise
  • Able to prioritise and manage own work, and work effectively as part of a team, whilst maintaining the ability to work autonomously.
  • Ability to meet conflicting deadlines and handle interruptions.
  • Able to plan and arrange meetings and coordinate attendance.
  • Ensure accurate information is provided in a timely manner and high quality documentation and reports are produced to a cycle of deadlines.
  • Standard keyboard and computer skills for writing and preparing publications, presentations and designing documents.
