Job overview

An opportunity has arisen within the Quality and Patient Safety directorate for an experienced administrator to join the Patient Safety Incident Team (PSIT)  . The successful candidate will provide administration to the Patient Safety Incident Team and the day-to day administration of the patient safety incident reporting process.

The post offers applicants the exciting opportunity to develop a widespread knowledge of the patient safety processes and systems within in NELFT.

We are looking for an organised, motivated and enthusiastic administrator with an interest in patient safety. The successful candidate will have first class Incident Reporting (Datix/ InPhase), Word and Excel skills, minute taking and diary management skills with and the ability process data and reports. The post holder will require a flexible approach along with the ability to remain positive and constructive under pressure and an ability to maintain confidentiality and handle sensitive/distressing information discreetly.

Main duties of the job

The main responsibilities of the post are:

  1. Communicate effectively with staff at all levels in the organisation regarding the patient safety incident reporting and investigation process.
  2. Through effective communication and high quality work, to develop key working relationships with staff at all levels in the organisation.
  3. Provide reports internally and externally within agreed timescales as required.
  4. To negotiate with all stakeholders both within the organisation and externally with the ICB regarding reports and compliance with reporting requirements.
  5. To be able to handle exposure to very distressing or emotional information contained within initial alerts and completed reports.

Starting with NELFT

NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust.  All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment.  As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focussing in engagement, health and wellbeing and key processes.  The induction will be held at our head office in Rainham, Essex.

 

Probationary Period

This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).

 

High Cost Area Supplement

This post also attracts payment for High Cost Area Supplement of 5% of the basic salary (with a minimum of £1,192 to a maximum of £2,011)

Detailed job description and main responsibilities

The post holder will achieve this by providing administrative support to the patient safety incident team ensuring compliance with local and national guidance.  

The post holder will achieve this by providing effective front of house service and administrative support to the patient safety incident team.  This will involve dealing with general queries from the public, either face to face, over the phone and include booking appointments.  Acting as the first point of contact for enquiries from all staff regarding patient safety incidents.

The post holder will consistently deliver a “client-focused” service which promotes good customer service and effective working relationships.

The post holder with maintain accurate records of all investigations and ensure the clinical incident reporting system and Strategic Executive Information System are updated as required.
