Job overview

An exciting opportunity has arisen for a Facilities Receptionist  to work at Bethlem Royal Hospital for the Facilities Department, South London and Maudsley NHS Foundation Trust. Working closely with the Facilities Team Leader.

The successful applicant will have good organisational, communication, and interpersonal skills.

You will communicate with patients, carers, and visitors as well as SLAM staff and health professionals. The post holder will be comfortable with IT and be keen to learn new software packages and processes.

This is a challenging role,  Manning the Main Reception, being the first contact  for those coming on site, greeting staff, visitors  and service users

Main duties of the job

To help provide a front of house, fully comprehensive, professional, and courteous Facilities service for the stakeholders of the Site and Community Sites 

As part of the Site’s facilities team, the postholder supports the monitoring of the the delivery of hotel services, waste disposal, and collection and delivery of equipment and clinical items. 

Working for our organisation

The post holder will work  0900-1700 Monday to Friday 

This role is primarily aimed at providing a service at Bethlem Royal Hospital  

The Bethlem Royal Hospital is located in West Wickham, the nearest train station is Eden Park (zone 5) with excellent transport links from central London, Croydon, and Bromley including the new super loop route. 

The post holder may be required to travel and work at other sites if necessary.

Detailed job description and main responsibilities

1.       Collaborate with team leaders and facility team members to enforce good practices and ensure compliance with trust policies and the trust’s five commitments.

2.       Remain current with mandatory training and continually assess training needs to maintain job competency and address skill gaps.

3.       Use the trust's reporting platforms to report any policy breaches and manage security issues promptly.

4.       Provide excellent customer service at the reception, warmly receiving all patients, visitors, and staff, and effectively managing challenging interactions and emergencies.

5.       Oversee document management tasks such as photocopying, scanning, laminating, filing, and maintaining essential communication tools like phone lists and notice boards.

6.    Handle incoming calls,  reception tasks, including booking rooms, and maintaining flow and order in the reception and waiting areas.

7    Report any breaches of policies in line with Datix reporting policy.

8    Send out communications and notices on behalf of the team leader or facilities manager, ensuring efficient and effective work practices and adherence to quality standards.

9   Act as Fire Marshall for own service area, carrying out monthly audits, acting as point of contact with Emergency Services/DSN during any evacuations of work area.

1  Follow and enforce emergency and security procedures to maintain a safe and orderly environment.

Qualifications

Essential criteria
  • NVQ Level 2 Customer Service
  • Functional skills Level 2 Maths and English
  • Previous Receptionist/Administrative experience
  • Working knowledge of Health and Safety legislation
Desirable criteria
  • Previous N.H.S experience in a Mental Health setting
  • SIA CCTV registered
  • Minute taking

Experience

Essential criteria
  • The ability to manage conflict and identify where escalation to senior staff is necessary.
Desirable criteria
  • Familiar with Planet F.M (Facility Management) (Facility Management) software
  • Apprenticeship course registration
  • First Aid at Work certified.

Knowledge/Skills

Essential criteria
  • Able to communicate clearly, verbally and in writing.
  • Able to use MS Office applications
Desirable criteria
  • Customer service experience preferably in a health care setting
