Job overview

This is an exciting opportunity to join a friendly, high-profile team with a varied work programme supporting the innovative Lambeth Living Well Network Alliance (LWNA).

The LWNA is the longest running integrated adult mental health provider in the country, with the South London and Maudsley NHS Trust, Lambeth Council, South East London Integrated Care Board, Certitude and Thames Reach all recently agreeing a three year extension to the seven year contract they signed in 2018.

The successful person will be highly motivated and well organised with experience of managing projects and supporting high level meetings.

The position is offered for 12 months, either as a secondment or fixed term contract, to cover the existing post-holder who has secured an internal 12 month secondment.

Main duties of the job

·     To ensure the administration of the Lambeth Living Well Network Alliance (LWNA) is effective, efficient and focused on supporting teams to achieve the LWNA’s outcomes.

·     To manage and support ad-hoc projects as agreed from time to time with the Deputy Director and Director.

Working for our organisation

The LWNA Support Team is a small team that is friendly and supportive, whilst being fast-paced and focused on delivery.

We work effectively with the broadest range of people, including: those we support in the community and their carers; staff at all levels, politicians and Board Members, and; service providers including GPs, community and voluntary groups. So 'people skills' and a friendly manner will be important.

Detailed job description and main responsibilities

·       Provide highly proficient executive PA support to the Alliance Director and Deputy Director – this includes diary management, meeting scheduling and related tasks.

·       Co-ordinate day to day admin support for the LWNA and assist with the development of administrative processes.

·       Ensure all relevant Alliance meetings are appropriately supported in a timely manner – this includes producing Agendas, Minutes, Action Trackers and Forward Plans for: Alliance Leadership Team, Alliance Management Team, Finance and Performance Group, Communications and Engagement Group, plus others as required

·       Manage, supervise and provide effective leadership to junior members of administrative staff – this includes setting and agreeing workplans and objectives, regular one to ones, undertaking appraisals and any other manger responsibilities.

·       Manage purchase orders and invoice payments via the relevant systems such as e-Procurement, as directed by the Director and Deputy Director – this will involve raising Requisitions, ensuring goods and services are correctly received and liaising with relevant colleagues to ensure that providers are paid in a timely manner.

·       Lead on the collation and reporting of Alliance staff and service user feedback – this includes the analysis of quantitative and qualitative data and its presentation to senior audiences.

·       Manage projects as agreed with the Alliance Director and Deputy Director – to lead or support other projects within the capability of the postholder, as agreed from time to time.
