Job overview

This role is specifically for the Administrative focus role. This Job description will incompass two focus’s of work. This role will work closely with the Rota focus role to cross covering between the two focus areas. Working across all sites will also be required from each individual. 

The HSHS Administration team collectively work together to provide a comprehensive administrative service to the wider Sexual Health Team.

Main duties of the job

·         Typing letters, reports, discharge summaries and general correspondence via, dragon, email and manuscript dictation for the team.

·         Typing letters for other services, as appropriate and as agreed by the service coordinator.

·         Servicing meetings, including taking minutes, circulation of previous minutes and agendas, ensuring that action points are completed.

·         To arrange room bookings.

·         Coordinate meetings, both internal and external, as requested by clinicians and the service coordinator.

·         To undertake photocopying, other clerical, administrative and ad hoc duties as required by team.

·         To use envoy text messaging service to bulk text message patients on an adhoc basis.

·         To scan hard copy of GU letters to attach to electronic patient record systems (Preview/EPR/Inform).

·         To establish and maintain a filing system for correspondence, circulars and other communications to the department.

·         Log requisitions and raising POs with procurement.

·         Request work as needed from the Trust porters and estates departments, and work with others to ensure follow-up of these requests across the department.

·        To make changes to the website and social media pages as requested.

  • Educated to GCSE level, or equivalent including English and Maths (Grade C or above).
