Job overview

We are looking for a Lead Administrator who will be Responsible for the management of processes with the teams ensuring an efficient and effective administrative/secretarial/reception provision across the crisis services areas to ensure service delivery in partnership with local management teams

Management and monitoring of service area performance objectives and targets via the formulation and implementation of effective in-house systems to ensure accurate capturing of data/record keeping and to revise as and when the need arises ensuring the use of data quality reports

Main duties of the job

Line manage all Admin and Clerical staff within the Service areas.

Responsibility for ensuring that full secretarial support is provided to the service staff, including cover for reception when necessary. Ensuring that administration needs are met at all times to ensure the smooth running of the units.

Provide day to day lead operational management and coordination of the Administration services to meet the needs of the service area and taking appropriate action and escalating issues as appropriate. 

Assist senior staff in dealing with personnel issues and staff grievances in relation to own service area in line with Human Resources policies and procedures.

Responsible for the administration process within the service area, identifying areas for improvement and implementing changes.

Responsible for developing and conducting a regular individual review system for managed staff, ensuring that personal, professional and training needs are identified and met in line with Trust policy and Directorate objectives. 

Chair regular Administration Team Meetings to disseminate key information and to ensure that there is effective and efficient communication within the service area.  

 Assisting Senior Administrators/Head of Admin in the selection, recruitment and retention of all Admin and Clerical staff in own service area.

 Assisting senior managers in formulating service plans which reflect the needs of the service area.

The post holder will be required to work 15 hours (Tuesday and Thursday) and this will be office based.

  • Good level of education GCSE or equivalent in English and Maths
  • NVQ LEVEL 3 or equivalent
  • Evidence of Continual Professional Development

  • Appropriate level of NHS experience  Relevant administrative experience
  • Specialist knowledge of NHS IT systems
  • Training skills and experience
  • Analytical and problem solving ability
  • Proven supervisory skills
  • Experience of relevant NHS Databases systems
  • Experience of recruitment and retention

  • Financial experience
