Job overview

An exciting opportunity has arisen in our Theatres Admissions Unit for an enthusiastic Admissions coordinator. 

The role will facilitate the delivery of timely, accurate admission bookings for Royal Marsden Patients. The successful candidate will be responsible for processing bookings from referrals for RMH surgical procedures, including booking appropriate swab and pre-assessment appointments. Working across two sites in a busy and dynamic Hospital, with a base in the Sutton branch, this role will work as part of a small, dedicated admissions booking team, covering NHS and PP procedures. The coordinator role is integral to the effective provision of surgical cancer treatment and previous bookings experience is desirable.    

This role will be supported by a Team Leader and an Admissions Manager who will work closely with you and the rest of the team to ensure a consistent and robust bookings service is maintained at all times. In addition, you will be expected to participate in multidisciplinary trust meetings with the clinical teams to foster good working relations and provide excellent patient care.

The applicant must have acute attention to detail, excellent interpersonal skills and a strong ability to deliver against KPIs, often under pressure. An understanding or experience with hospital bookings, patient centre care and leadership would be desirable. 

Main duties of the job

The Admissions Team aims to provide a streamlined service for all patients (both NHS and Private Patients) requiring elective admission to The Royal Marsden Hospital sites in Sutton and Chelsea. The team coordinates all aspects of the admission process, including the booking of all required pre-operative appointments and liaising with Private Care to ensure funding is secured.
Within this role the administrator will be responsible for the co-ordination of all elective medical and surgical admissions. They will process all referrals in line with the Standard Operating Procedure and Trust Policy. Additionally, they will liaise with NHS and PP schedulers/secretaries both within and outside the Trust.
The post-holder will be the first point of contact for clinical teams in their request to secure an elective admission for patients. They will work with the clinical staff in Theatres, CCU and Admissions to ensure maximum patient numbers are not exceeded.

To be the first point of contact for clinical teams to book elective admissions ensuring all relevant bookings for patients are co-ordinated effectively and efficiently. Check funding is in place for Private Patients.
To ensure that admission referral forms are completed correctly and to advise referrer accordingly if further information is required.
To be the first point of contact for elective patient enquiries regarding appointments and admissions and appropriately refer any clinical matters to the nursing staff in charge of Pre-Assessment. Patient enquiries 
will cover a variety of topics, from simple questions regarding appointment times, to complex requests for change in treatment plans. The admissions coordinator is responsible for triaging these enquiries and referring on to the clinical team as appropriate.

Education/Qualifications

Essential criteria
  • Good educational background
  • Minimum experience of working in a hospital or relevant setting
  • Previous NHS experience
  • Numeracy and computer literacy
  • Ability to communicate effectively in written and spoken English
  • Completion of Medical terminology course and implementing learnings into a practical context.

Experience

  • Confident in dealing with people at all levels within a range of disciplines
  • Excellent interpersonal skills including the ability to be assertive when necessary
  • Understanding of patient and carer issues in relation to hospital admission
  • Ability to apply good judgement and common sense
