Job overview

An exciting and unique opportunity has arisen for an enthusiastic, dynamic and self-motivated professional to join our clinical trials team at the Sutton site of the Royal Marsden.

You will be part of a team consisting of Pharmacists, Technicians and Assistants, who are always striving for excellence in all aspects of our work. We are working collaboratively as part of a Multi-Disciplinary Team to ensure we always deliver outstanding care to our patients.

 

This is an exciting time to join the Royal Marsden Hospital Clinical Trials Department. Our service is built around providing a high-quality service to our patients and staff of the Trust. The Oak Cancer Centre (a new, state-of-the-art treatment and research facility) opened in June 2023 in Sutton which will speed up the translation of world-leading research into breakthroughs in treatment and care, transforming the lives of cancer patients at The Royal Marsden and beyond.

The hospital has recently introduced the EPIC digital health record system and we are looking to use the full capabilities of this system to support the pharmacy teams and become a more efficient and truly paperless department.

Main duties of the job

The Job Description outlines the role of the Clinical trials Pharmacy Administrator. You will be expected to complete a wide variety of administrational tasks including assisting with implementation of paperwork, scanning, filing and coordinating documentation in both paper and electronic forms. You will also support dispensing all types of clinical trials prescriptions promptly and accurately as they pass through the clinical trials dispensary, ensuring that all trial protocols, standard operating procedures and current legislation are adhered to. Together with the team you will be responsible for ensuring that the trials service runs smoothly; this will include stock control, accurate record keeping and drug accountability of clinical trials, counselling patients, completing deliveries, archiving, liaising within a multi-disciplinary team and training of colleagues.

  • To support the Senior Pharmacy Technicians, Clinical Trials in the running of the Clinical Trials service. To ensure an efficient, structured, consistent, and accurate service as stipulated in the pharmacy clinical trial Standard Operating Procedures (SOPs).
  • Co-ordinate and maintain the Clinical Trials service in accordance with current UK Clinical Trial Regulations, the Medicines for Human Use (Clinical Trials) regulation 2004 (EU Clinical Trial Directive) and all updates, together with ICH GCP guidelines and departmental procedures and ensure provision of a high-quality service to patients and staff at the Royal Marsden. 

Administrative Tasks

  • To support the Pharmacy Clinical Trials Team (PCTT) with administrative tasks related but not limited to:
    Assisting with the implementation of trial paperwork
    Assisting with printing, scanning, photocopying and study related documents.
  • Maintaining pharmacy clinical trial site files, computer and written records in an organised manner

Person specification

Education/Qualifications

Essential criteria
  • Good general education – GCSE level (Grade A-C in English and Maths) or Numeracy and Literacy functional skills Level 2 (or equivalent)
Desirable criteria
  • NVQ level 2 in Pharmacy Practice and/or NVQ level 3/BTEC equivalent in Pharmaceutical Science
  • Current certified ICH-GCP training
  • Background in oncology
  • Good understanding of medical terminology

Experience

Essential criteria
  • Experience of working with databases
  • Intermediate (or advance) level of using Microsoft Office application especially Microsoft Word and Excel
  • Previous experience of working in a hospital, pharmacy or medical setting
Desirable criteria
  • Experience of working in an administrative role with a proven track record of problem solving
  • Experience of working in a busy environment working independently and exercising judgment and decision-making skills

Skills/Abilities/Knowledge

Essential criteria
  • Ability to prioritise workload and adjust own work in light of unexpected events or changing priorities to meet deadlines.
  • To be able to use own initiative planning own work for the day/week and work unsupervised where appropriate.
  • Excellent interpersonal & communication skills with the ability to communicate effectively (both orally and written) with all levels of health professionals.
  • Ability to grasp new concepts quickly
  • Ability to work effectively as part of a team and with staff at all levels
  • Ability to handle sensitive information without comprising confidentiality or trust
