This administrative role will give you the opportunity to work in a vibrant and busy radiotherapy department within a team that are compassionate and dedicated to delivering high quality patient care in everything they do.  

Primarily this post will be to manage the admin function for the Radiosurgery (SRS) service. The post-holder will be primarily responsible for booking and manipulating complex radiotherapy pathways to tailor treatment requirements to the individual patient, for the SRS service; a highly focused form of radiotherapy to the brain. They will also be key in communicating this complex information to patients along with preparation instructions for the radiotherapy planning process. This role will sit within a dedicated team at the Sutton site but the post holder may be asked to co-ordinate the flow for both sites of the radiotherapy department.                          

We are looking for an efficient and organised person with excellent interpersonal and communication skills. You will also be IT literate with an interest in healthcare.  We are looking for individuals to demonstrate in their application and at interview an understanding of what working in a healthcare environment requires.

Main duties of the job

1.1.     The radiotherapy department at the Royal Marsden Hospital NHS Foundation Trust treats approximately 5000 new patients per year across the two sites at Sutton and Chelsea. Treatment is delivered by teams of therapy radiographers who work closely with medical Physics, clinical oncologists and nursing staff. Currently  both departments in Chelsea and Sutton support the neuro-oncology stereotactic radiosurgery service which delivers treatment to approx. 400+ patients per year.

1.2.     The post-holder will be based at the Sutton site and be primarily responsible for the patient administration and communications around the stereotactic service. The duties of this post will be varied and the post holder will need to become proficient in the use of various IT systems that underpin the administrative tasks.

1.3.     The post holder will be required to understand the radiotherapy organisational and management structure. The post holder will also be required to understand how the SRS service fits with main radiotherapy and the referral pathways that feed into to the trust.

1.4.     The post holder will liaise with medical, physics clerical and support staff within the department and external referring hospitals as necessary. The key working relationships will be with the Supt Radiographers and Advanced Neuro-oncology Specialist radiographers, Clinical Services Divisional staff and external stakeholders.

1.1                Staff Administration - General

1.1.1            Be familiar with using the hospital computer systems to access data and patient data as necessary.

1.1.2           Be familiar with using the radiotherapy booking system to access patient appointments

1.1.3           Take part in the management of patient pathways, appointments, and information needs for the stereotactic service

1.1.4           Assessment and understanding of radiotherapy bookings and associated appointments

1.1.5           Responsible for timely and accurate response and redirection to booking requests

1.1.6           Attend the stereotactic multi-disciplinary meetings as necessary and relevant to role

1.1.7            Communicate all information in relation to patient pathway as requested to patients.

1.1.8           Be able to demonstrate empathetic skills when communicating with patients.

1.1.9           Maintain and develop own personal standards of care and technical ability in relation to role

1.1.10        Filing and photocopying upon request of the Superintendent

Education/Qualifications

Essential criteria
  • GCSE Level 4 or above (or equivalent). In Maths and English A
Desirable criteria
  • Level 3 education or training

Experience

Essential criteria
  • Experience of working within health
  • Experience in a front facing role dealing directly with clients
  • Experience of working in a time pressured environment requiring the management of competing demands
  • Experience of working in a clerical role requiring knowledge of administrative and organisational procedures.
  • Experience of office management
  • Experience in data entry
Desirable criteria
  • Experience of working within radiotherapy
  • Experience with booking systems and in using a Digital Health Record

Skills/Ability/Knowledge

Essential criteria
  • Ability to produce accurate and consistent work with attention paid to detail whilst working to tight deadlines.
  • Ability to exercise personal responsibility/initiative within appropriate boundaries
  • Computer literate with associated keyboard skills
  • Be competent with Microsoft Office applications and principles of data entry
  • Have demonstrable problem solving and decision-making ability to be able to solve straight forward problems without supervision

  • Understanding of the complexity of the NHS and knowledge of important initiatives/policies that have shaped the NHS as well as the likely changes over the next 3-5 years
