Job overview

This role provides project administrative secretarial and organisational support to the Strategy & Planning team to ensure the timely, effective and efficiency management of the team workload. This role requires good organisational and time management skills using an adaptable and flexible approach. Effective communication and interpersonal skills will be necessary to ensure the team and Trust colleagues can work fluidly and effectively together to meet a wide range of deadlines. The Strategy & Planning Team provides support to all divisions of The Hillingdon Hospitals NHS Foundation Trust (THHFT) in delivering Business Planning function, GIRFT programme and other agreed strategic programmes of works.

Main duties of the job

·         Providing all aspects of day to day administrative support for the Strategy & Planning team, escalating risks and issues in a timely and proactive manner

·          Support with planning for all Strategy & Planning Office functions, and adjusting planned activities as required as a result of changes and circumstances.

·         Support the team and with diary management, report compilation and tracking of milestones to ensure deadlines are met in a timely manner.

·          Contributing to additional identified projects as required in line with the THHFT Strategy & Planning remit and across the team portfolio.

·         Support the coordination and management of diaries and time commitments between colleagues and external partners, liaising effectively and appropriately with Executive colleagues and external senior managers.

Detailed job description and main responsibilities

Working to the Transformation Strategy and Business Planning Lead, the Administration Project Support Officer is responsible for the daily administrative support to a range of projects and programmes, including, assisting with the management of all Business Cases (BC) through the trust’s BC cycle, maintaining the BC Tracker and supporting the monthly meetings including diary management, agendas, ensuring that action logs are maintained throughout the BC lifecycle.

·         Manage and co-ordinate complex requests and unplanned commitments in an effective and organised manner.

·          Support the team to meet planned and unplanned external deadlines by acting in a coordinating role.

·         Support the planning and governance delivery of Trust-wide Business Planning, providing administration support planned activities as required.

·          Able to manage own workload independently, prioritising workload and activity, resolving conflicting appointments and schedules, using initiative or escalating where appropriate.

Education and Qualifications

Essential criteria
  • Minimum GCSE Maths and English equivalent
Desirable criteria
  • Administrative, project management qualification

Knowledge and experience

Essential criteria
  • Proven ability of working in an administrative role
  • Experience of working in a healthcare setting
  • Experience of Board level meeting administration
Desirable criteria
  • Previous experience of diary management and co-ordination of documentation and processes

Skills and abilities

Essential criteria
  • Significant knowledge and skills in Microsoft Office suite of tools, MS Teams functions and proficient keyboard skills
  • Effective verbal and written communication skills with a range of colleagues and stakeholders
  • Strong workload prioritisation and organisation skills; effective management of competing priorities
  • Ability to work under pressure to meet deadlines across multiple projects
