We have an exciting opportunity  in the Medical Directorate

We are looking for an individual who is professional, efficient proactive and eager to learn.  Providing a high quality administrative service to  the Medical Directorate.  Supporting the operation and organisation of multiple undergraduate and postgraduate placements. The post holder will be required to be flexible in terms of working hours, work as a team member, cross cover team tasks as and when required.

Main duties of the job

  • To act as the first point of contact for queries in relation to various placements, providing a comprehensive administrative service generally and flexibly within the team, covering for other staff members as required as appropriate to the grade 
  • Support the constantly evolving Medical Directorate in the recording and updating of information systems, timetables, absence reporting and producing  a variety of  reports and databases
  • Support the development of additional placements and ensure systems are maintained efficiently, including postgraduate medical workforce and directorate planning
  • Provide administration support to the trust teaching programme including GP, FY  and mock CASC exams
  • Support in the initial processing of education systems and databases

Detailed job description and main responsibilities

  • Support in the administration for elements of social media for Medical education and Workforce
  • To ensure teaching, planning meetings and quality assurance processes are arranged and communicated effectively to the relevant staff, ensuring all meetings take place, with proactive planning.  Supporting the Medical directorate in the delivery of training and education.
  • Ensuring all telephone calls and messages for the team are clearly recorded and communicated as required.
  • Participate in the preparation of events and courses including training, medical student induction and teaching, catering and room booking requests
  • To support in the planning and preparation of the annual undergraduate quality assurance visits, including event organisation, agenda and any required reports or evidence
  • Support Medical Workforce & Education Officer in maintaining electronic recording systems information including; undergraduate placement details and supervisor allocation.  Ensuring information is kept up to date and that systems and processes are adhered to with Induction, day to day administration in relation to the business of the medical directorate including undergraduate and workforce directorate planning
  • Support the Medical Directorate in recording and monitoring of income and expenditure, including recording of non-stock, NHS supplies, invoices, purchase orders
  • Diary management within the Medical Directorate

Education/Qualifications

Essential criteria
  • GCSE English/Maths
  • NVQ Level 3 in administration/ RSA 3 or equivalent qualification/ equivalent experience
  • ECDL or equivalent qualification/experience
Desirable criteria
  • Typing or Word processing qualification or equivalent

Experience and Knowledge

Essential criteria
  • Experience of using Microsoft Office applications, including Word, Excel, PowerPoint, Tableau, SARD, GMC and Outlook, NHS mail and Office
  • Previous administrative experience
Desirable criteria
  • Work experience in medical environment
  • Knowledge of NHS Trust Mental Health
