We are currently looking for an Office Coordinator. The role of Office Coordinator oversees office communications and supports essential operations. They manage emails, phone calls, mail, and coordinate meetings, ensuring efficient workflow and effective communication within the office environment.

The role is a full-time position working 37.5 hours per week working flexibly.

Detailed job description and main responsibilities

·       Greet visitors graciously and in a professional manner, create a good personal image through a neat, clean, business-like professional appearance

·       Answer the main office phone in a pleasant, helpful and professional manner, directing all incoming calls to the appropriate party promptly and efficiently, accurately recording messages and reliably passing messages to the recipient in a timely manner 

·       Ensuring all meetings are catered for, such as beverages and food, if required

·       Assist departments with ad-hoc administration support where necessary

·       Act as the main office contact and ensuring stationery orders, kitchen essentials and maintenance of the Central Support Office standards is maintained

•    Authorising timesheets for agency shifts using online rota / liaising with Service Manag-ers (AJ)

•    Ensuring visitor & staff sign/in out sheets are utilised consistently

•    Managing Health & Safety requirements for the Central Support Office

•    Maintaining procedures/administrative systems

•    Distributing incoming post and managing outgoing post where required

•    To assist in coordinating staff events

•    Ensuring staff notice board is kept up to date with relevant Governance information

Person specification

Experience, knowledge and skills

Essential criteria
  • 1 year administration experience especially with accounts and/or cash handling and rota/diary management
  • Evidence of working within a customer-centred environment
  • Computer literate - knowledge of Windows Office software applications including Sharepoint, Excel and Word
Desirable criteria
  • Meet any desirable criteria
