Job overview
To provide administrative support to the Occupational Health Department. The post holder will undertake clerical duties including record keeping, filing, scanning, data collection and photocopying. The post holder will also be trained to cover the Reception Desk which will involve meeting and talking with patients as well as booking/re-booking/moving appointments. There may be occasions when the post holder will be required to work at our branch site on the Tameside & Glossop Integrated Care NHSFT site. Working time for the post is Monday - Friday, 8.30am – 1pm. |
Main duties of the job
Main Duties and Responsibilities
· Scanning of clinical correspondence in patient case notes.
· To use bespoke Occupational Health IT system – Opas G2.
· Process requests for vaccination ensuring that payment has been made.
· Locating & tracking physical files for scanning/termination
· Generating appointment reminder data file.
· Printing of labels for Occupational Health Nurses.
· To liaise with other wards/departments within the hospital as and when required.
· Photocopying, faxing, laminating and binding of all necessary documentation and keeping departmental supplies up to date.
· Opening and sorting of mail.
· Enveloping of post.
· Cover Occupational Health reception
· Answering reception phone calls & voice mail retrieval.
· Process referrals/health questionnaires
· Preparing daily clinic sheets
· System data integrity checks
· General administration duties within the department as required.

Education & Qualifications
Essential criteria
- Good general education - GCSE passes or equivalent including Maths and English
- NVQ Level 2 in Business Administration or equivalent experience
Knowledge

- A good awareness of and understanding of issues surrounding diversity and patient involvement.

- Knowledge of working in the NHS.

- Previous office/reception expereience.
