Job overview
The post holder will deliver audio typing support for clinic correspondence. Specifically, the main duties of the role will involve clinic and results letters typing using Winscribe and similar systems.
Main duties of the job
The role is vital in ensuring patients are informed in a timely way, regarding their care pathways and requires good levels of concentration, proof reading skills and involves prolonged periods of typing for large periods of the day
The post holder will need to be able to understand and interpret functional/medical/legal terms and organisational policies and procedures, working with colleagues to ensure correct process is followed and ensure the smooth administration of patient flow.
Ability to deal with non-routine issues such as problem solving for an area of work or developing alternative or additional procedures primary to coordinate care plans.
The role will be linked to a system that supports departments and business groups to ensure typing is available to cover for shortages and peaks in demand across departments.
Outputs will be measured using a set of performance measures to ensure consistency and high quality, timely service provision.
Duties and responsibilities include assisting and implementing the interface and support required with the flow of patients through the system as required.
Act as the link between consultants, clinicians, the booking team and other areas to ensure care is delivered in a coordinated and efficient way.

Detailed job description and main responsibilities
Main Duties and Responsibilities
Responsible for typing and processing of all work generated by the consultants and their junior medical team, adhering to appropriate deadlines.
- Responsible for medical audio typing for any of the laboratory Medicine disciplines as directed by the senior secretarial team.
- Responsible for general typing and processing of work as directed by the senior secretarial team.
- To be responsible for the opening and sorting of mail on a daily basis.
- Organising and maintaining a filing system.
- Electronic diary maintenance including booking of meetings and appointments.
- Dealing with telephone calls and making telephone contact with personnel at all levels.
- Obtain patient records from the medical records department / ward etc.
- Ensure notes are tracked via the PAS system.
- Arrange study leave, book travel tickets and accommodation, submit expenses and monitor records.
- Photocopying, laminating and binding of all necessary documentation.
- Provide cover in the absence of staff within the secretarial team.

If successful this vacancy will require a Standard DBS check at a cost of £26.50. This cost will be deducted from your first Trust salary.

Education
Essential criteria
- NVQ Level 3 or Equivalent
- Appropriate ICT/keyboard skills/audio typing skills/medical terminology qualifications or demonstrable equivalent experience
- Good general standard of education to GSCE level C or above in English and maths or equivalent or relevant experience
Knowledge
Essential criteria
- Knowledge of secretarial and administrative procedures and systems
- Understanding of RTT and cancer targets and ability to ensure smooth care pathways

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
